Summit Line Construction, a subsidiary of Quanta Services, Inc., is seeking a Proposal Coordinator to join our team in Heber City, Utah. This role is crucial in assisting the Estimating department with managing bids for all projects across the company. The Proposal Coordinator will be responsible for organizing and distributing proposal documents, tracking deadlines, and maintaining accurate records. This position acts as the main contact for proposal-related inquiries, ensuring that all deliverables are completed on time and adhere to the required formatting and content standards. The Proposal Coordinator will receive, review, and analyze Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Requests for Information (RFIs) to determine the proposal requirements and deadlines. A high-level review of inquiries will be performed to interpret the scope of work and associated deliverables. The coordinator will distribute RFP documents to the estimating and executive teams, detailing the scope of work, pre-bid and proposal due dates, and estimated construction dates. Tracking bid deliverables is essential to ensure compliance with client requirements, including formatting, content, and submission procedures. In addition to proposal management, the Proposal Coordinator will handle document management by downloading and organizing RFPs on company servers, moving client files according to the internal electronic file structure, and archiving all proposal materials. The role also involves communication and coordination, monitoring the estimating email for updates, sending calendar invites for pre-bid and proposal due dates, and inputting RFP information into Salesforce. Maintaining a database of submitted proposals, including tracking wins and losses for future reference and analysis, is also a key responsibility.
