The Proposal Coordinator/Communication Professional at WTA Architects will play a crucial role in supporting the firm's marketing and business development initiatives. This position involves collaborating with marketing and project teams to manage proposal responses, develop marketing strategies, and enhance the firm's brand recognition. The ideal candidate will be creative and proactive in producing marketing materials and leading the RFP/RFQ response process.

  • Work with principals, associates, and project managers to develop project specific proposal responses, scopes of work, and fees.
  • Manage 'Go/No Go' program for RFPs/RFQs.
  • Create and update resumes, boilerplate information, project descriptions, etc.
  • Work with project managers to develop standard/typical proposal sections and scopes of work.
  • Coordinate specialized consultants (photographers).
  • Log and maintain new opportunities and proposals.
  • Manage collateral materials development, public relations and advertising programs, special events, direct mail programs, and marketing research activities.
  • Produce marketing communications pieces such as aids, brochures, post cards, email content, etc. for project interviews, client meetings, conferences, and in-house presentations.
  • Produce awards submittals.
  • Maintain and continually update website information and social media sites.
  • Assure quality of documents produced and distributed.
  • Maintain established corporate brand standards, e.g. logo, templates, etc.
  • Monitor subscription services and website for project opportunities and relay to Business Development Director and appropriate group leaders.
  • Actively involved in professional and community organizations.
  • Represent the firm to clients, peer organizations, and business associates.
  • Plan marketing activities with Marketing Team.
  • Plan and coordinate special events.
  • Follow up with thank you notes as necessary.
  • Coordinate mailing and/or distribution of promotional items.
  • Assist with article writing, press releases, and placement.
  • Maintain organization of digital marketing folder.
  • Participate in additional activities established by Business Development Director.
  • Background or education in marketing, graphic design, and/or communication.
  • Excellent writing skills.
  • An eye for graphic beauty and strong graphic skills.
  • Team player with a strong ability to work independently.
  • Strong graphic design capabilities.
  • Proficient in Microsoft and Adobe software, including Photoshop, InDesign, Illustrator, etc.
