For more information, please visit www.aspirehr.com . This role is primarily remote based anywhere within the United States with potential for customer and home office onsite work periodically. We are looking for an experienced Proposal and Contracts Manager who will play a pivotal role in ensuring clarity, accuracy, and consistency of our proposal, statement of work, contractual and written documentation. This role collaborates closely with cross-functional teams, external clients, and business stakeholders to create compelling and legally sound proposals and contracts. The Proposal and Contracts Manager drives standardization and discipline in written documentation.

Requirements

  • Bachelor’s degree in Business Administration, English, Technical Writing or Information Technology preferred
  • Professional writing experience, including proposal responses and/or technical writing, or other forms of content development
  • Fast and nimble research capabilities – ability to synthesize essential information from large, complex documents
  • Proficient in document management systems
  • Experience in contract management, proposal development, negotiation, compliance, and regulatory standards
  • Familiarity with SaaS industry trends and standards
  • Ability to understand the business implications of decisions
  • Sound judgement and aptitude in decision-making and problem-solving
  • Proven ability to meet deadlines without compromising quality
  • Ability and willingness to roll up your sleeves to get into the details when necessary
  • Demonstrated ability of relationship building across internal and external stakeholders
  • Strong attention to detail and excellent proofreading skills
  • Exceptional written and verbal communication skills
  • Ability to manage multiple projects simultaneously and meet tight deadlines
  • Proficiency in legal research and interpretation of laws and regulations

Responsibilities

  • Drive the development of comprehensive proposals that align with client requirements, project objectives, and showcase the organization’s strengths
  • Analyze RFP requirements, facilitate collaborative discussions with key partners surrounding project positioning and strategy and implement key takeaways in proposals or SOW responses
  • Work closely with finance and project teams to ensure contracts and proposals meet or exceed targeted financial margins
  • Work closely with managers to assess the availability, capacity, and skills of internal and external resources to ensure effective allocation of resources
  • Ensure proposals are developed efficiently without exceeding resource limitations; communicate resource constraints and potential bottlenecks to relevant parties proactively
  • Monitor project activities to ensure compliance with contractual terms and conditions
  • Track requests and manage the proposal completion process to ensure proposed projects and RFP responses are completed and delivered by the required due date
  • Establish priorities and dates for information gathering, writing, review, and document finalization
  • Develop and maintain a centralized library of content including templates, and contracts; update content database as needed
  • Audit and improve existing document management process
  • Implement best practices for document version control and accessibility
  • Identify opportunities for cost optimization and revenue enhancement
  • Continuously evaluate and enhance the proposal, SOW and contract processes for increased efficiency and effectiveness
  • Perform quality control on proposals and SOWs by thorough review and proofreading, obtaining additional review or approval from key resources as appropriate
  • Implement and maintain quality assurance processes to uphold high standards in all written documentation
  • Consults with a range of internal and external stakeholders to ensure contracts and services are maintained
  • Prepare and negotiate terms and conditions of contracts
  • Draft, review, and negotiate a variety of contracts and proposals, including software licensing agreements, service agreements, and confidentiality agreements
  • Ensure all contracts and proposals adhere to legal and regulatory requirements, and reflect the company’s policies and standards
  • Other duties as assigned
