About The Position

The Property Operations Assistant is responsible for managing the administrative tasks for a large, complex community or group of communities. This employee supports the office and/or maintenance administrative duties of the organization. These duties include but are not limited to; service requests, preventive maintenance scheduling and follow-up, pest control management and scheduling, move in/out inspections, inspectional service department/boards of health coordination, project management and general administrative activities.

Requirements

  • High School diploma or GED
  • Proficiency in Microsoft Word, Excel and general customer service
  • General interest electrical, plumbing, appliances, HVAC and/or carpentry
  • Strong computer proficiencies required.
  • Intermediate proficiency with Word, Excel, PowerPoint, Outlook.
  • Fluent in English.
  • Strong oral and written communication skills.
  • Highly organized and detail oriented.
  • Ability to work in a fast-paced environment where priorities change daily.
  • Deadline driven.
  • Demonstrates strong initiative and high level of professionalism.
  • Manual dexterity for competent use of office equipment.
  • Ability to climb stairs and walk through the community.

  • Basic proficiency with Yardi desirable.

Responsibilities

  • Supports the service request process, entering and tracking service requests, closing out service requests and follow up with any outstanding service requests.
  • Updates the various maintenance logs
  • Provides Administrative support to Maintenance and Office when needed.
  • Creates and delivers notices to residents for inspections, pest control and general maintenance work.
  • Supports the preventive maintenance process and all other special projects.
  • Manages maintenance follow up efforts with residents and vendors.
  • Ensures that quality control standards are followed and consistently met.
  • Assists with inventory management and general upkeep of the maintenance shop.
  • Aids with the monitoring and tracking of Monthly Maintenance Safety Training.
  • Provides Administrative support to the maintenance department in tracking and completion of the unit turnover process.
  • Additional administrative responsibilities as assigned by the Maintenance Team Supervisor/Sr. Maintenance Supervisor/Regional Maintenance Director.
