About The Position

Property Operations & Administration Associate Schedule & Compensation Location: Remote (Latin America focus for bilingual skills). Hours: Full-time, 9:00 AM – 5:00 PM PST (Pacific Standard Time). Salary: $1,000 – $1,200 USD per month (Absolute maximum ceiling of $1,400 USD for a "stellar" candidate). Company Overview Our client is a boutique property management firm based in Washington state. We pride ourselves on responsive, professional service for our residents and owners alike. We are looking for a bilingual operations professional to join our "family-style" team and help manage the daily complexities of our property portfolio. The Role The Property Operations & Administration Associate is a hybrid role covering administration, light bookkeeping, tenant relations, and marketing. You will be the primary point of coordination between our management team, maintenance crews, and residents. This role requires a high degree of confidence, professional presence, and the ability to pivot between different types of tasks daily.

Requirements

  • Experience: Previous experience in Property Management is highly preferred ("Chef’s Kiss") who understands the importance of tenant law compliance with the ability to prepare legal documents accurately.
  • Language : Must be fully bilingual in English and Spanish (Professional level).
  • Technical Skills: Tech-savvy enough to learn property management software and marketing tools (MailChimp) quickly.
  • Soft Skills: Exceptional Attention to Detail and "Behavioral Awareness", meeting deadlines and managing multiple tasks without hand-holding.
  • Demeanor : Professional, confident, and articulate communication style.

Responsibilities

  • Tenant Relations & Communication Bilingual Outreach: Handle verbal and written inquiries from residents in both English and Spanish.
  • Notice Administration: Prepare and dispatch formal legal documents including rent increase notices and deposit refund statements.
  • Problem Solving: Act as a confident and professional "voice of the company" to ensure residents feel heard and well-managed.
  • Maintenance & Operations Coordination Dispatch: Coordinate with the maintenance team to dispatch work orders and follow up on completed tasks.
  • Utility Management: Facilitate the transfer of utility bills between tenants and property owners during move-in/move-out cycles.
  • Administrative Flow: Support the full administrative lifecycle of a tenant from move-in to move-out.
  • Scheduled Inspections: Scheduling property inspections with residents
  • Marketing & Digital Communication Email Campaigns: Assemble and execute weekly email marketing campaigns using MailChimp (training provided, but tech-savviness is required).
  • Newsletter: Drafting the monthly property newsletter from a template.
  • Light Bookkeeping & Records Invoice Processing : Receive and code incoming invoices into our property management software for the accounting team.
  • Expense Tracking: Ensure all operational expenses are tracked and categorized appropriately.
  • Delinquency rep orting : Compiling lists of residents with outstanding balances for property manager follow-up
