About The Position

Reporting to The Chief Operating Officer at CSAAC, the Property Manager is responsible for managing all CSAAC properties including residential homes, building facilities, and commercial retail buildings, etc, and monitoring routine and complex technology monitoring devices for CSAAC. Incumbents must have a dotted-line reporting relationship to the COO for the purpose of coordinating property management and maintenance efforts for the agency.

Requirements

  • High school diploma or Bachelor’s Degree preferred.
  • Minimum three (3) years of related work experience, as well as proficiency in property management duties.
  • Must possess strong written and oral communication skills, as well as good organizational and coordinative ability. Must possess and demonstrate strong interpersonal skills with the ability to exercise patience, caring and concern in new and sometimes stressful situations.

Responsibilities

  • Manages all CSAAC Properties including residential, commercial, and retail, and ensures everything is up to CSAAC’s standard and regulatory at all times.
  • First point of contact for all maintenance / facility needs and directs as necessary.
  • Monitors CIMS’s Facility Requests and ensures all repairs are completed and satisfactory.
  • Conducts monthly walkthroughs at all CSAAC “Buildings” and “Retail” Sites and Develops a Punchlist:
  • Meet with COO on needed repairs and sends a list of needed / approved repairs to CSAAC’s Contractors for bids and proposals.
  • Follow-up on repairs completed and inspections
  • Send a cleaning list to CSAAC’s Cleaners and follow up on completion
  • Check all Closets, Utility Rooms, etc. and ensure they are clean, neat, and organized at all times. Straighten as needed.
  • Complete a daily walkthrough at East Village (or facility assigned to) and ensure the building is safe, clean, and in good order for the day. Ensure building is ready for opening.
  • Maintains a record of all repairs requested with all contractors and tracks what is pending, completed, and invoiced. Maintains a P&L on tracking repairs.
  • Maintains a P&L for all rental properties and submits to COO monthly.
  • Parking Lot Enforcement and Management at all Commercial Locations.
  • Residential Parking Pass Management.
  • Attends facility inspections conducted by licensures entities
  • Manages annual health and fire inspections
  • Completes residential health inspection CARs and ensures all violations are completed.
  • Conduct bi-annually walkthroughs at all CSAAC homes and develop a punch-list:
  • Meet with COO on repairs needed and sends a list of repairs needed to CSAAC’s Contractors for bids and proposals.
  • Sends a cleaning list to CSAAC’s Residential Directors and COO with photos
  • Follow-up and ensure items are completed
  • Ensures all Building Facilities and Retail Centers are “Inspection Ready” and meets fire, safety, and health requirements.
  • Monitors all thermostats remotely and make changes as needed. Check weekly and during the winter daily checks.
  • Contact Sub-Contractor for all needed repairs / service and ensure work is completed and invoice received and submitted to COO:
  • HVAC, Plumbing, Electrical, Pest Management, Appliance, Landscapng, Snow Removal, etc.
  • Monitors all water flo devices and ensure there is no neglectful use. If there are signs of possible overuse contact CSAAC’s Audit Specialist and have it investigated.
  • Prepare all Building Facilities for change of seasons.
  • Serves as after-hours on call for facilities emergencies.
  • Key Control
  • Ensure all keys are inventoried and neatly organized and maintain an electronic inventory
  • Order keys from CSAAC’s Locksmith as needed
  • Manage door access cards and assign as needed
  • Manage all Rental Properties for both Commercial and Residential.
  • Ensure monthly rent is paid and maintain a P&L
  • Main point of contact with tenants
  • Manage rental licenses
  • Assist with lease development and renewals
  • Handles all other inspections related to rentals
  • Remodels:
  • Communicate with Associates Associated with the Properties on Remodels and Ensure Individuals are out during the times of Renovations
  • Walkthrough after Remodels and Ensure Work is Satisfactory and at CSAAC’s Standard
  • Assist the Executive Director and COO on building remodels and conduct daily checks on the progress and have a clear understanding of what is being done
  • Establish utilities for all new properties.
  • Assist the IT Department as needed when time permits.
  • Assist the COO with other daily duties as assigned.
  • All other duties as assigned by the COO and Executive Director.
