About The Position

The Property Manager is responsible for ensuring the full operational preparedness, safety, security, maintenance, and overall presentation of a large beachfront estate. The role requires proactive oversight, hands-on problem solving, vendor coordination, emergency response, and the ability to prepare the property for owner use at a moment’s notice. The Property Manager acts as the owners’ on-site representative and primary keyholder. This role requires full flexibility based on business and property needs. The individual must understand that hours are not fixed and may change depending on operational priorities, owner presence, and urgent situations. Availability to work additional hours, weekends, holidays, and outside of normal business hours is required when needed. The Property Manager must be responsive and able to report to the property on short notice when necessary.

Responsibilities

  • Serve as primary keyholder for the property.
  • Respond immediately to all alarms (security, fire, CO, water leak, HVAC, generator).
  • Coordinate police, fire, or emergency services when required.
  • Maintain access control (keys, codes, lockboxes).
  • Implement storm/hurricane preparedness and post-storm inspections.
  • Maintain emergency supplies and documented response plans.
  • Conduct regular interior and exterior walkthroughs with photo documentation.
  • Identify and address leaks, humidity issues, pest activity, or structural concerns.
  • Ensure plumbing fixtures are periodically run to prevent dry traps.
  • Monitor HVAC, dehumidification, and air quality appropriate for coastal conditions.
  • Keep the home “show ready” at all times.
  • Develop and manage a preventive maintenance calendar.
  • Coordinate and supervise vendors (HVAC, plumbing, electrical, pest control, cleaning, landscaping, security, IT).
  • Verify work quality and completion.
  • Maintain service records, warranties, manuals, and schedules.
  • Track expenses and stay within owner-approved spending thresholds.
  • Mow the grassy area around main property and basic grounds maintenance.
  • Inspect acreage, fencing, paths, irrigation, drainage, and tree health.
  • Identify erosion, washouts, or storm damage.
  • Maintain outdoor furniture, showers, storage, and equipment.
  • Monitor shoreline conditions and remove hazardous debris.
  • Manage salt-air corrosion mitigation (rinsing, inspections).
  • Clean and prepare the beach area.
  • Set up, secure, and maintain beach cabanas, chairs, and umbrellas.
  • Ensure beach area is safe, orderly, and visually presentable.
  • Prepare the property for owner arrival on short notice.
  • Coordinate deep cleaning, laundry, staging, and restocking.
  • Test all systems prior to arrival.
  • Remain on-call during owner stays as agreed.
  • Oversee renovation and improvement projects (e.g., laundry room addition and building of a new shed to store lawn equipment, tools, etc.)
  • Obtain bids, manage contractors, timelines, inspections, and punch lists.
  • Provide progress updates with photos and budget tracking.
  • Provide regular written reports (via email) with photos.
  • Maintain detailed property logs and inventories.
  • Track budgets, invoices, and maintenance costs.
  • Serve as liaison with neighbors, local authorities, and service providers.
