About The Position

We are seeking a dedicated Property Management Associate to join our team in New York. This role is an opportunity to oversee a variety of departmental and financial activities within property management. The position is not remote and requires a commitment of 8-5 or 9-5, Monday through Friday. This is a temporary assignment for three months with the possibility of extension or conversion to a full-time position.

Requirements

  • At least 1-2 years of experience in property management or a related field.
  • Proficiency in using Pulse, P2P, and Tenants Kinsley software.
  • Strong organizational and communication skills.

Nice To Haves

  • Experience in property maintenance is a plus.
  • Ability to gather pricing of parts from Engineering and Locksmith for prompt billing.
  • Comfortable working with managers on licensing tenants and their renewals.

Responsibilities

  • Manage and process all billable work orders including freight loading dock use, HVAC requests, utilities, and rent statement charges.
  • Close all work orders, both billable and non-billable, ensuring accuracy and timely completion.
  • Coordinate third-party rebill work orders such as trash and meter calibration.
  • Send out taxes and confirm all work orders for correct coding, documentation, and billing details.
  • Coordinate the monthly close-out process, finalize work orders, submit reports to the accounting department, review Yardi final reports, upload data into Pulse, and bill tenants individually.
  • Submeter electric, chilled water, steam, and cold-water billing from Utilivisor; verify and request uploads and ensure completion before billing tenants.
  • Retrieve and upload required departmental documents into Pulse ensuring complete and compliant record-keeping.
  • Maintain and update the Tenant Tracker for accurate tenant information and service history.
  • Manage and create vendor contracts in P2P, including tracking terms, renewals, and compliance documentation.
  • Prepare and maintain the Tenants Kinsley Report for internal use and reporting needs.
  • Perform administrative tasks such as sending out tenant letters, typing engineering letters/tests, and attending monthly accounting meetings to verify arrears.
