About The Position

The Property Coordinator plays a vital role in supporting the Property Management and Technical teams within a designated portfolio. This position involves a variety of administrative tasks that are essential for the smooth operation of property management activities. The coordinator will be responsible for providing direct support through telephone and email communications, processing invoices and purchase orders, maintaining contractor and tenant files, and preparing and monitoring contract documents. Additionally, the coordinator will assist the Property Manager and/or Senior Property Manager in managing operational activities across assigned buildings, ensuring that a high level of customer service is maintained for tenant requests, including effective issue resolution. In this role, the Property Coordinator will engage in tenant relations by responding to service requests, following up to ensure tenant satisfaction, and addressing complaints promptly. The coordinator will also be responsible for coordinating emergency information and safety protocols, including scheduling evacuation drills. Furthermore, the position requires the preparation of proposals and invoices for additional services, as well as coordinating with vendors for tenant events and managing security access information. The coordinator will lead various operational activities, including preparing correspondence, managing office supplies, and planning office events. They will also maintain essential property information, such as lease files and vendor lists, and administer the automated work order system. Regular property inspections will be conducted to ensure maintenance quality, and findings will be reported to the Senior/Property Manager for further action. Financial responsibilities include assisting with budget preparation, monitoring building expenses, and processing tenant billings in accordance with company guidelines. Overall, the Property Coordinator is expected to demonstrate exceptional organizational skills, strong interpersonal abilities, and a solid understanding of operational budgets, contributing to the effective management of the property portfolio.
