Performs a variety of clerical duties for the Store Services Department such as answering incoming calls, relaying messages to staff members, directing callers to appropriate personnel, providing information and assistance, preparing agendas and calendars, typing letters, memos, filing, distribution, etc. Maintains various files on stores for construction, maintenance, leasing correspondence, vendors, contractors, etc. Assists with the preparation and mailing of maintenance notices to landlords, appropriate corporate staff, and Store Managers as necessary. Copies and forwards invoices for approval; forwards to appropriate department for payment. Processes departmental supply orders ensure appropriate inventory levels are maintained. Performs basic maintenance on departmental office machinery; orders supplies/parts as needed. Works as a liaison with various vendors, landlords, and contractors for the Executive Director of Real Estate and assigned staff. Assists with the coordination of construction repairs, maintenance, and leasehold improvements. Prepares and/or receives a variety of forms, logs, requests, records, reports, spreadsheets, correspondence, and other documents associated with daily responsibilities of this position; reviews, updates, completes, processes, forwards, maintains, and/or takes other action as appropriate. Operates a personal computer, printer, scanner, calculator, copy and facsimile machines, telephone or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.
