This position performs the administrative functions of the Property Management Team, ensuring a high level of professionalism in property issues, including timely response to and resolution of any tenant requests or concerns. The role provides comprehensive administrative support, encompassing phone support, typing reports, filing, and distribution of correspondence. Key duties include scheduling and coordinating meetings/special events, assisting in lease administration activities such as managing tenant contacts and insurance information, and generating reports. The administrator is also responsible for preparing and coordinating bid proposals, service contracts, and approved invoices, while assisting Property Managers in ensuring compliance with company policies and procedures. Additional responsibilities involve managing office supplies, ensuring accurate completion of contract and insurance certificate information, tracking and filing these documents, and maintaining follow-up systems for expirations. The role monitors and maintains the property maintenance work order system, prepares monthly reports on tenant work order status, and manages property purchase order and lease/contract files. Furthermore, the position requires fostering positive relationships with tenants and clients, tracking service calls, assisting with monthly and quarterly management reports, annual budget preparation, and processing various financial documents like staff hours, tenant bill back invoices, expense reports, monthly meter readings, and check requests for review and approval.
