The Project Support Specialist is a key position to assist in carrying out the organization’s project delivery strategy. Specifically, they are in direct support of the program and project management teams. Key areas of support include project delivery, material management, logistics, and procurement. Overall, this is a mission critical position to ensure the critical path items required to deliver a project are effectively coordinated across multiple projects and teammates.

  • Provide coordination support for all Program and Project Management activities throughout the customer and project lifecycle.
  • Facilitate pertinent information flow within the team concerning resources or other project related information.
  • Assist with generating purchase requests.
  • Draft and submit Return Merchandise Authorizations (RMAs).
  • Assist Project Managers with adhering to Vision’s Operational Guidelines throughout all project phases including Presales, Planning, Delivery, Closing, and Post-Installation.
  • Monitor all aspects of projects to ensure milestones, timelines, and budget targets are met.
  • Monitor project risks and notify Project Managers.
  • Assist with managing change control and change orders.
  • Monitor and assist with the quality assurance process during all phases of the project.
  • Maintain data and system integrity.
  • Assist with aligning all contract documents (SOWs, POs, Contracts, Proposals, etc.)
  • Assist project Managers and Project Accountants with proper billing.
  • Performing weekly reviews of KPIs and reports including Project Budget Trackers, Field Budget Trackers, Project Metrics system, Invoicing, and AR.
  • Experience with project management methodologies and/or construction.
  • Strong customer service skills.
  • Ability to work in a fast-paced environment, assisting with multiple projects and with competing deadlines.
