About The Position

Under the direction of the Chief Project Manager, the Project Specialist supports the planning, design, and development of capital and expense projects outlined in the five-year plan. This role manages design development through completion to produce buildable projects, including coordination of approvals, permitting, and preliminary budgeting. The Project Specialist collaborates with all relevant departments to ensure project needs are accurately captured and that final designs align with Mohonk Mountain House master planning initiatives.

Requirements

  • Minimum 5 years’ experience in construction design and project management.
  • Valid Driver’s License and at least 21 years of age, or 20 years of age with at least two years of licensed driving experience.
  • Demonstrated proficiency in a drafting software and a strong understanding of design principles and construction documentation.

Responsibilities

  • Meet with project stakeholders to ensure alignment and buy-in across affected departments.
  • Develop plans and specifications using Revit or AutoCAD for smaller projects not requiring outside consultants.
  • Issue updated plans and specifications for review as they become available.
  • Provide accurate estimates for design timelines aligned with approval and scheduling needs.
  • Review plans and specifications across multiple disciplines in coordination with the Director of Properties and Chief Project Manager.
  • Manage assigned small projects from inception through completion.
  • Plan and expedite project activities in collaboration with the Chief Project Manager.
  • Maintain drawing logs, specifications, and plan rooms using ProCore or other CM-related software.
  • Hold periodic meetings with design professionals to review progress.
  • Assist with contractor handoff, punch lists, and project closeout.
  • Negotiate fees with outside consultants and design partners.
  • Prepare purchase requisitions and draft contracts for design professionals.
  • Verify totals on reports, requisitions, and invoices in accordance with accounting procedures.
  • Keep all necessary parties updated on progress of plan development, including all changes in cost, scope, and schedule.
  • Analyze issues and develop action plans to address challenges.
  • Act calmly and effectively in emergency situations.
  • Communicate clearly and professionally with guests, visitors, and employees.
  • Demonstrate proficiency in Windows-based systems, including MS Word, Excel, Project, and Outlook.
  • Perform mathematical functions necessary to interpret architectural plans and manage budgets and schedules.
  • Work outdoors and in exposure to natural elements.
  • Maintain flexibility in scheduling, including availability on short notice for emergency repairs, 24/7/365.
  • Walk up to 5 miles per day.
  • Stand, sit, bend, kneel, stoop, climb ladders, and navigate stairs and inclines for extended periods.
  • Work safely in tight or confined spaces.
  • Possess visual acuity including close, distance, peripheral, and depth perception.
  • Hear and respond to verbal instructions, directions, and warnings.
  • Speak, read, and write English fluently.
