About The Position

We are looking for a Project Portfolio Manager (PPM) who will be responsible for a personal project portfolio, as well as, overseeing the full portfolio of organizational projects to ensure alignment with strategic priorities, efficient resource management, and consistent delivery across the enterprise. This role provides leadership, governance, coordination, and visibility into all project activity, helping the organization make informed decisions about prioritization, resourcing, and risk management. The Project Portfolio Manager partners closely with senior leaders, project managers, and cross-functional teams to strengthen project execution, improve transparency, and advance organizational project maturity. This position allows work from home up to 2 days a week and must be a commutable distance to any one of our California offices: Alamo, Glendale, Granite Bay or San Diego. Requirements

  • Bachelor’s degree in Business, Project Management, Organizational Development, or related field required.
  • Minimum of 7 years of experience in project management, PMO operations, or project portfolio management required
  • Project Management Professional (PMP) certification required within 12 months of hire or promotion
  • Experience managing multiple complex, cross-functional projects simultaneously
  • Strong understanding of project and portfolio management methodologies; PMP or PgMP preferred.
  • Exceptional organizational and analytical skills, with the ability to identify trends, risks, and improvement opportunities.
  • Excellent written and verbal communication skills, with the ability to influence without authority.
  • Proficiency with project management tools (e.g., MS Project, Jira).
  • Demonstrated ability to work collaboratively across departments and levels of the organization.
  • Strong problem-solving skills with the ability to manage ambiguity and competing priorities.
  • The ability to see the big picture, anticipate future needs, connect work to organizational goals, and make decisions that support long-term success. This includes evaluating options, analyzing trends, and aligning projects and resources with strategic priorities.

  • Ability to travel by car or airplane, including overnight stays, up to 5 nights per year.
  • Must have reliable and safe transportation to other BETA offices and business partners. Employee(s) using their own personal vehicle for business use must maintain: (a) a valid California driver’s license, (b) proper vehicle registration and (c) California’s minimum automobile insurance coverage limits

Responsibilities

  • Lead the planning, coordination, and execution of assigned projects from initiation through completion.
  • Develop and maintain project plans, timelines, scope documents, budgets, and status reports.
  • Facilitate project meetings, document action items, and ensure accountability across team members.
  • Identify, track, and manage project risks, issues, and dependencies, escalating when needed.
  • Coordinate resources across departments to ensure milestones and deliverables are met.
  • Communicate progress, updates, and changes clearly and consistently to stakeholders and leadership.
  • Ensure all project documentation is maintained, accurate, and aligned with PMO standards.
  • Partner with cross-functional teams to clarify objectives, confirm requirements, and support successful project execution.
  • Monitor project performance and make recommendations to improve efficiency, quality, and outcomes.
  • Develop, manage, and optimize the organization’s project portfolio in alignment with strategic goals
  • Facilitate the evaluation and prioritization of projects, including reviewing business cases and resource requirements.
  • Maintain the enterprise project roadmap and ensure clear visibility of timelines, dependencies, risks, and milestones.
  • Provide regular portfolio performance reports and insights to leadership to support informed decision-making.
  • Monitor the health, progress, and risks of projects across the organization.
  • Perform project reviews and assessments to ensure compliance with project management standards.
  • Support project managers with planning, scope definition, scheduling, and stakeholder engagement.
  • Identify and escalate issues or risks that affect delivery timelines, resource availability, or outcomes.
  • Assess project resource needs and support cross-functional resource planning.
  • Coordinate with department leaders to ensure appropriate staffing and skill alignment for project demands.
  • Identify resource conflicts or capacity bottlenecks and recommend solutions.
  • Serve as a central point of contact for portfolio-related communication and coordination.
  • Engage with project sponsors and stakeholders to clarify goals, expectations, and resource needs.
  • Prepare clear, concise presentations and updates for executives and cross-functional teams.
  • Foster strong relationships across departments to improve collaboration and project outcomes.
  • Develop, implement, and maintain standardized project management processes, templates, and best practices.
  • Support process improvement efforts and contribute to the refinement of project management tools, templates, and methodologies.
  • Evaluate and enhance project management technology platforms to improve efficiency.
  • Champion continuous improvement efforts related to project delivery and portfolio management.
