About The Position

The J. Paul Getty Trust seeks a Project Manager to support Getty’s Vice-President for Getty-wide Program Planning in a fast-paced environment that involves extensive communications and coordination among stakeholders working with the Vice President of Program Planning. This newly created role is responsible for coordinating the planning process for projects that span the four Getty programs: Getty Museum, Getty Research Institute, Getty Conservation Institute, and Getty Foundation. The Project Manager will interact and work with internal and external stakeholders, including program staff, business units and staff across Getty, and outside partner organizations. Under the pressure of tight deadlines, the Project Manager should be flexible and undertake the coordination of multiple projects at various levels of completion; develop, monitor, and manage timelines and budgets; conduct background research; maintain records and documentation; and communicate with management. The Project Manager may help plan, assign, and/or supervise the work of others. The successful candidate will be a detail-oriented individual with strong problem-solving skills and the adaptability to respond to changing deadlines and priorities, along with the discretion to handle highly sensitive business matters and materials. Requirements

  • Bachelor’s degree, preferably in an area related to the arts
  • 3-5 years of project management or significantly similar experience; preferably in an arts-related or educational organization
  • Knowledge of project management practices
  • Skill in project management monitoring
  • Excellent computer skills including strong proficiency in standard business software- Microsoft (Outlook, Word, Excel, PowerPoint), Zoom, Adobe Acrobat, and project management and database software
  • Ability to exercise sound judgment in making critical decisions and to analyze complex information
  • Ability to conduct research and synthesize information
  • Ability to prepare project reports and to communicate effectively to a variety of audiences
  • High level of integrity and ability to handle sensitive information with the utmost discretion and maintain the highest level of confidentiality.
  • Excellent verbal and written communication skills, capable of interacting professionally with various stakeholders

Responsibilities

  • Coordinate and plan projects using accepted project management methodologies
  • Conduct background research relevant for ongoing projects
  • Develop project schedules, work plans, resource requirements
  • Identify potential project risks and difficulties and design strategies to mitigate or avoid them
  • Develop project timelines, deadlines, and monitor progress
  • Compile and distribute project information, project status reports, and project budget
  • Complete quarterly and fiscal year-end reconciliation and reporting of budget
  • Creates documentation procedures to capture and deal with changes in original project plan
  • May develop criteria for evaluation of programs
  • Organize, coordinate, and edit complex reports for the Vice President
  • Works closely with necessary parties to ensure all appropriate policies and procedures are followed
  • Compile and distribute project information, status reports, and budget expenditures on a regular basis
