About The Position

Melanin Money is on a mission to close the Wealth Gap by $100 billion - empowering 100,000 people of color to achieve their first $1 million in net worth. Through curriculum, community, and coaching, we equip rising wealth builders to create the financial future they deserve. As we grow, our initiatives are becoming more complex-spanning events, campaigns, new programs, cross-team launches, and multi-department efforts that require strategic coordination. We are seeking a highly organized, proactive, and systems-minded Project Manager who can both zoom out to architect a project from end-to-end, and zoom in to ensure every moving piece is executed with excellence. This is a brand-new role-you won't be stepping into an existing system. You'll help build the project management infrastructure that supports a fast-growing organization with multiple internal and external stakeholders, bringing clarity, structure, and momentum to company-wide initiatives. This is a remote, full-time employee role, open to US residents, with a preference for applicants located in Eastern or Central Time Zones. Candidates must be able to work during the hours of 9AM-6PM ET, Mon-Fri, and be available to travel 3-4 times per year.

Requirements

  • Minimum of 3 years of proven project management experience
  • Demonstrated success coordinating cross-functional teams (sales, operations, marketing, product, events, etc.)
  • Experience working with external vendors, agencies, or partner teams
  • Proven experience creating project plans, timelines, and workflows from scratch
  • Experience managing complex, multi-stakeholder projects with both creative and operational components
  • You excel at planning and managing complex initiatives-you're comfortable overseeing multi-phase projects with multiple internal and external stakeholders, and you know how to keep everything moving cohesively.
  • You have a strong command of timelines and dependencies-you anticipate handoffs, surface risks early, and keep teams aligned and accountable to deliver on commitments.
  • You are an excellent communicator and facilitator-you can lead meetings, drive clarity and decisions, and coordinate effectively across departments, vendors, and partners.
  • You can take big-picture goals and turn them into action-you translate leadership expectations, project goals, and campaign plans into clear tasks, workflows, and deliverables.
  • You are systems-oriented in your execution-you enjoy building structured approaches for tracking progress, measuring success, and keeping projects organized from start to finish.
  • You are highly organized and documentation-driven-you create and maintain timelines, workflows, SOPs, reports, and project trackers that teams can actually use and rely on.
  • You are resourceful and proactive-you spot issues before they escalate, troubleshoot breakdowns thoughtfully, and propose practical, effective solutions.
  • You bring strong operational thinking and problem-solving skills-you're able to assess challenges holistically and take smart, decisive action.
  • You are comfortable working in evolving environments-you don't need everything to be perfect or fully built to get started, and you enjoy helping shape and improve processes over time.
  • You can juggle multiple priorities without sacrificing quality-you manage several projects at once while maintaining attention to detail and high standards.
  • You are confident using modern project management tools-you're proficient in platforms like ClickUp, Asana, Monday, Notion, or similar, and you know how to use them to drive visibility and accountability.
  • You are highly proficient in Google Workspace-you use Docs, Sheets, and Slides to communicate clearly, track progress, and support cross-functional collaboration.
  • You thrive in fast-paced environments-you stay focused, adaptable, and solution-oriented when priorities shift.
  • You take ownership of outcomes-you care deeply about the quality of your work, follow through on details, and see projects through to successful completion.

Responsibilities

  • Own end-to-end planning, execution, and delivery of company-wide projects, from scoping to final handoff.
  • Scope projects fully-defining objectives, stakeholders, timelines, resource needs, risks, and success metrics.
  • Translate high-level goals into structured project plans, timelines, workflows, and clear deliverables.
  • Understand the entire organization (teams, roles, workflows) to predict downstream impacts and ensure alignment.
  • Identify gaps, risks, capacity constraints, and bottlenecks early-and proactively propose solutions or adjustments.
  • Strategically drive momentum by determining what needs to change or escalate to get projects back on track.
  • Serve as the operational strategist ensuring all project components move in sync and remain feasible.
  • Facilitate communication across departments (Sales, Marketing, Client Success, Operations) to ensure clarity and alignment.
  • Serve as the internal liaison for external partners (event planners, marketing agencies, graphic designers, contractors).
  • Ensure all stakeholders have the correct information, access, timelines, and resources to complete their work.
  • Maintain an in-depth understanding of how each team operates to anticipate needs and coordinate effectively.
  • Lead recurring project status meetings and deliver concise, actionable follow-up reporting.
  • Build project management structures, templates, and systems from scratch as the company grows.
  • Create tracking tools, dashboards, SOPs, checklists, and timelines to increase visibility and efficiency.
  • Design scalable workflows for new roles, products, or initiatives based on leadership-provided expectations.
  • Develop systems that help track performance, capacity, and milestone completion across the organization.
  • Track progress against deadlines, deliverables, capacity, and KPIs across multiple teams.
  • Assess team bandwidth, identify capacity issues early, and readjust timelines or resources proactively.
  • Ensure all project communication is aligned-internal messaging, campaign timelines, launch details, and event updates.
  • Hold team members accountable with professionalism and empathy, ensuring clarity of expectations and next steps.
  • Quality-check deliverables for accuracy, completeness, and alignment before they move to the next stage.
  • Provide leadership with regular progress updates, issues logs, and recommendations for course correction.
  • Manage internal and external workflows for Melanin Money's major live and virtual events.
  • Coordinate with event planners, marketing agencies, sales teams, and internal operations to ensure cross-team readiness.
  • Maintain the master event timeline, ensuring alignment across ticketing, communications, content, and logistics.
  • Troubleshoot gaps, identify resource needs, and adjust timelines or workflows to maintain successful event execution.
  • Maintain thorough documentation for every project, including learnings and post-project evaluations.
  • Identify inefficiencies, cost-saving opportunities, and operational improvements across teams and projects.
  • Recommend and implement changes that improve speed, reduce friction, and increase organizational alignment.
  • Continuously optimize processes to support a scaling organization and evolving priorities.
