About The Position

Associa is hiring a Project Manager to oversee all capital projects, RFPs, contracts, and execution, for its large scale HOA in Williamsburg, VA.   Daily responsibilities: Act as the liaison for Infrastructure and Facilities Committees, on day-to-day issues. Responsible for obtaining multiple proposals for each project involving Infrastructure and Facilities (i.e. sinkholes, erosion, etc.) Responsible for writing RFP’s for major contracts and assisting the General Manager/HOA Manager in drafting technical areas of RFP’s, contracts, or related construction policies for consideration by the Board. Present proposals to the respective committees for work that needs to be completed or services provided to the HOA. Communicate project updates to the General Manager & HOA Manager for reporting back to the Board of Directors. Oversee the technical aspect of all RFPs to vendors that are related to repairs and maintenance projects of all types and their associated infrastructures. Responsible for obtaining proposals as requested. Oversee projects, as assigned by General Manager and HOA Manager, for the association and evaluate performance of the contract. Verify contractor’s contract, license and COI, documentation is in hand prior to commencing work. Ensure the scope of each project is complete for the contract specifications and timelines as outlined in the contract. Delegate repairs to contractors based on skill set, timeliness, and scope. Responsible for overseeing projects through completion, in conjunction with General Manager and HOA Manager. Assist General Manager and HOA Manager in preparing presentations for proposal comparison presentations. Assist General Manager and HOA Manager in seeking grants for Association reimbursement on storm water projects. Assist in Budget Preparation and acquisition of proposals. Responsible for the preparation of multiple monthly financial reports for the General Manager. Oversee reported Street Light outages/issues and report the same to Dominion Energy. Handles special projects as assigned by General Manager or HOA Manager. Other duties as requested. 

Requirements

  • High school diploma or GED equivalent is required.
  • 3+ years of administrative, vendor and contract management experience.
  • Customer service drive, team oriented, collaborator.
  • Excellent communication skills (written and spoken).
  • Well versed in MS Office Suite (Word, Excel, Outlook).
  • Ability to prioritize tasks,  manage multiple projects simultaneously,. and manage time effectively.
  • Resolve conflicts and offer solutions.
