The Museum of Modern Art is currently accepting applications for a Project Manager who will work closely with the Director of The Emilio Ambasz Institute for the Joint Study of the Built and the Natural Environment and the Philip Johnson Chief Curator of Architecture and Design to oversee and implement the Ambasz-MoMA Annual Prize Program, the Ambasz-MoMA Annual Lecture Series, and related activities and public programs. The Project Manager works in collaboration with the Ambasz Institute and the Architecture and Design department to coordinate the planning and implementation of the annual programs, as well as special projects and related initiatives. This includes liaising with architects, architectural firms, vendors and organizations involved in ecological architecture and related programs, and extensive travel-intensive research. The Project Manager administers the Institute’s timelines, manages the Institute’s financials and reporting, and contributes to strategic planning as it relates to annual programming. Works with colleagues within the Institute, the Architecture and Design Department, and across the Museum and with external colleagues to provide preparatory assistance and logistical support that ensures that programs, department operations and other daily functions are smoothly communicated, promoted, and executed. Additional responsibilities include: Manages all aspects of the Ambasz-MoMA Annual Prize Program and the Ambasz-MoMA Annual Lecture Series: Researches prize recipient prospects by conducting several multi-day domestic and/or international research trips per year. Conducts studio/site visits with prospects in multiple locations. Researches not-for-profit partner prize prospects. Manages jury selection process, including the compilation of prospect profiles and additional recommendations for jury review; handles logistics for in-person portfolio review and finalist selection with jury. Researches future event and lecture speakers, including multiple participants and moderators for panel formation. Drafts all program correspondence to prospects, jury participants, and program partners. Manages all contracts and agreements with internal and external parties. Oversees all program publicity, both internally and externally with partner institutions and public relations entities. Oversees logistics for program-related events, including receptions and accompanying venue logistics, catering, and furniture rentals. Manages event staffing, including check-in hosts, AV, catering, and coat check staffing. Oversees program budget, including jury member and presenter honoraria, travel and accommodation booking and expenses for jury members and prize recipients, venue, and reception expenses. Oversees production of supporting publicity materials, including commissioned films. Manages five to 10 Institute events and one annual Institute conference per year. Oversees creation of research profiles for potential speakers; drafts speaker invitation letters for distribution; ensures conference rooms and/or theaters reservations and set up for in-person events; oversees set-up of online meeting events; liaises with Communications and Public Affairs and/or external Public Relations services to advertise the events; and is present day-of to manage on-site event logistics. Manages the Institute’s print publications, including liaising with MoMA Publications and/or the graphic designer and external editor, creating research profiles of possible writers, securing high resolution image files and image permissions, and managing submission process of texts and images by authors. Manages online Institute publications, including assisting the Director with the compilation, editing, and distribution of the Institute newsletter, and liaising with the Museum’s Creative Team for in-house or external articles written for MoMA Magazine. Assists with management of remote programs of research fellows, including advertising annual positions, reviewing and ranking applications, and communicating with accepted fellows. Supervises Program Assistant. Participates in recruitment for open positions and makes hiring recommendations or decisions for staff vacancies; supervises assigned staff on daily basis, providing relevant training, feedback, guidance, professional development, etc.; ensures compliance with and comprehension of Museum policies and relevant collective bargaining agreement, if applicable; conducts annual performance reviews with direct staff; manages the constructive discipline process, as warranted; etc. Performs any other duties reasonably related to the functions described above.
