About The Position

The Scheduler is the operational backbone of Red Cat’s Flight Training and Demonstrations Team. This role owns the end-to-end coordination of customer training programs, product demonstrations, logistics, and export-controlled shipments. You will serve as the central hub connecting field teams, operations, logistics, engineering, and compliance to ensure every engagement is delivered on time, in scope, and in full regulatory compliance. This position is highly data-driven and requires advanced Microsoft Excel expertise. The Scheduler will build, maintain, and analyze scheduling, logistics, and compliance tracking models that leadership depends on for planning, forecasting, and execution.

Requirements

  • Bachelor’s degree in Business, Operations, Supply Chain, or a related field (or equivalent experience)
  • 3–5 years of experience in scheduling, operations, logistics, or program coordination
  • Experience in aerospace, defense, UAS, or other regulated technical environments preferred
  • Familiarity with export-controlled programs (ITAR/EAR) strongly preferred
  • Advanced Microsoft Excel proficiency required Pivot tables, Power Query, formulas, conditional formatting, charts XLOOKUP/VLOOKUP, INDEX/MATCH, nested formulas Data modeling and reporting dashboards Macros and VBA a plus
  • Strong understanding of logistics and inventory workflows
  • Experience with Microsoft 365, Salesforce, Notion, Google Workspace, or similar systems
  • Ability to turn raw data into clear, actionable insights

  • Must be able to walk, stand, and navigate large indoor and outdoor facilities for extended periods of time.
  • Ability to lift, carry, and move materials and equipment weighing up to 25 lbs on a regular basis.
  • Use of personal protective equipment (PPE) may be required in designated areas or when performing specific tasks, in accordance with safety protocols and company policy.
  • May be required to climb ladders, stoop, kneel, or crouch during inspections, maintenance walk-throughs, or emergency response situations.
  • Regular exposure to facility operations including noise, dust, temperature fluctuations, and industrial equipment.
  • Requires frequent use of a computer and other standard office equipment for documentation, communication, and coordination tasks.
  • This position will require successfully completing a post-offer background check.

  • This position requires direct or indirect access to hardware, software, technology or technical data controlled under the International Traffic in Arms Regulations (ITAR) and the Export Administration Regulations (EAR). Successful candidates for positions subject to ITAR/EAR restrictions must provide proof of U.S. Citizenship or Permanent Residence and must not require sponsorship for export-restricted work authorization.

Responsibilities

  • Scheduling, Planning & Resource Coordination
  • Own the master schedule for all customer training events, demonstrations, and field service activities
  • Assign flight trainers and demo resources based on availability, location, readiness, and customer priority
  • Track capacity, utilization, and program timelines using Excel-based planning tools
  • Continuously update and adjust schedules to meet changing customer needs and service-level agreements (SLAs)
  • Excel-Based Operations Management (Core Function)
  • Build and maintain complex Excel workbooks to track: Training and demo schedules Asset location and readiness Shipping and return status RMAs and failure analysis flow Export approvals and documentation status
  • Use advanced Excel functions (pivot tables, Power Query, XLOOKUP/VLOOKUP, conditional formatting, formulas, data validation, charts, macros preferred) to create dashboards and operational reports
  • Automate manual tracking processes and improve data accuracy across teams
  • Logistics & Shipping
  • Coordinate domestic and international shipments of training kits, demo systems, and spare parts
  • Track outbound and return logistics, inventory status, RMAs, and repair cycles
  • Ensure timely return-to-inventory or engineering analysis for failed systems
  • Export Compliance
  • Ensure compliance with ITAR and EAR requirements across all shipments and demos
  • Prepare and track export authorization requests and licenses
  • Maintain accurate compliance records and audit-ready documentation
  • Act as a liaison between internal teams and U.S. Government agencies
  • Reporting & Continuous Improvement
  • Generate weekly and monthly operational dashboards for leadership
  • Identify trends, bottlenecks, and risks using data analysis
  • Recommend and implement process improvements to increase efficiency and customer satisfaction
  • Cross-Functional Collaboration
  • Serve as the communication hub between Training, Demo, Logistics, Operations, and Compliance teams
  • Ensure seamless execution from customer request through program completion
