The Project Manager for Special Projects at SUNY Old Westbury is responsible for overseeing the planning, execution, and completion of projects related to the development of the Finance Lab and upgrades to the Media and Innovation Center.   • Define project scope, objectives, and deliverables in collaboration with senior management, faculty, and stakeholders.
  • Develop comprehensive project plans, including timelines, budgets, resource allocation, and risk management strategies.
  • Track all aspects of construction, renovations, and alterations projects including RFI logs, change order logs, daily progress reports, project budgets, project schedules, and warranty limits.
  • Coordinate interdepartmental renovation projects including scheduling and notifications.
  • Identify and secure necessary resources, ensuring effective allocation across projects.
  • Lead and manage project teams, fostering effective communication and collaboration among team members.
  • Oversee day-to-day project activities, monitor progress, and adjust plans as necessary to ensure timely completion.
  • Ensure all project deliverables meet quality standards and objectives outlined in the project plan.
  • Maintain regular communication with stakeholders, providing updates on project status, risks, and issues.
  • Facilitate meetings and presentations to keep stakeholders informed and engaged.
  • Manage stakeholder expectations and ensure alignment with project goals and institutional objectives.
  • Identify potential risks and develop appropriate mitigation strategies.
  • Monitor and manage project risks and issues, implementing contingency plans as necessary.
  • Conduct regular risk assessments and adjust project plans to address emerging challenges.
  • Track and report on project performance using appropriate tools and techniques.
  • Prepare and present progress reports, including metrics on project timelines, budgets, and deliverables.
  • Conduct project evaluations and lessons learned sessions to improve future project performance.
  • Ensure projects comply with institutional policies, industry standards, and regulatory requirements.
  • Implement quality assurance processes to ensure deliverables meet specified requirements.
  • Conduct project audits and reviews to ensure adherence to best practices and continuous improvement.
  • Organize and manage reimbursement processes for project expenses, including preparation, submission, and detailed record-keeping.
  • Verify expenses for compliance with grant guidelines and project budgets.
  • Bachelor's degree in Project Management, Business Administration, Finance, Media Studies, or a related field.
  • Minimum of 3-5 years of experience in project management.
  • Strong leadership and team management skills.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize and organize people and activities effectively.
  • Strong organizational, time management, and multi-tasking skills.
  • Ability to communicate clearly and concisely orally and in writing.
  • Strong presentation skills and ability to prepare coherent reports and documents.
  • Ability to work with a broad and diverse campus community and foster a collaborative team environment.
  • Problem-solving and critical-thinking skills.
  • Ability to work under pressure and meet tight deadlines.
  • Project Management Professional (PMP) or equivalent certification.
  • Experience with finance lab or media center projects.
  • Proficiency in project management software and tools (e.g., MS Project, Asana, Trello).
  • Familiarity with finance lab and media center technologies and equipment.
