About The Position

We are looking for a detail-oriented Project Manager Assistant to manage the critical administrative and financial workflows of our projects. You will act as the primary link between field operations and the office, ensuring all labor, equipment, and materials are accurately tracked for both customer billing and internal accounting.

Requirements

  • Software Proficiency: High level of experience with Microsoft Excel, Word, and Outlook.
  • Financial Literacy: Strong understanding of PO lifecycles (both incoming and outgoing).
  • Data Integrity: Exceptional attention to detail in data entry and cross-referencing field data with financial budgets.

Nice To Haves

  • ERP Expertise: Experience with Vista by Viewpoint is highly preferred; familiarity with similar construction-specific ERP systems is beneficial.

Responsibilities

  • Field & Payroll Tracking: Create daily field tickets and enter payroll and equipment usage into the billing system with high accuracy.
  • Customer Budget Management: Monitor actual spending against Customer Purchase Orders to ensure the project remains within the authorized budget.
  • Internal Procurement: Request Internal POs for materials and services; perform "receipting" for all purchased items to verify delivery and authorize payment.
  • Change Management: Proactively identify deviations from the original scope and request Change Orders as needed.
  • General PM Support: Provide administrative backing to the Project Managers, including reporting, scheduling, and other business needs.
