About The Position

Do you have a deep understanding of the SERVPRO® ecosystem and Xactimate? We are looking for a detail-oriented Project File Coordinator/Estimator to join our team. This role is perfect for a restoration professional who excels at the administrative and compliance side of the business. We are looking for an expert in documentation and industry-standard compliance who is looking for a professional environment that offers the flexibility of a Remote or Hybrid schedule. The Role As a Project File Coordinator, you will be the "anchor" for our field projects, ensuring that every job file tells a complete and professional story from initial loss to final billing. You will work closely with our production teams to ensure all data is captured and audit-ready. Manage the lifecycle of the project file within DryBook™, ensuring all photos, moisture logs, and field notes are present, accurate, and meet franchise standards. Use Xactimate to draft and refine preliminary estimates, ensuring all services performed are accurately captured for insurance carrier review. Perform daily audits of job files to ensure we are meeting all internal and program-specific SLA requirements. Monitor job status daily to identify and resolve any documentation gaps, working behind the scenes to keep projects moving toward final billing. Act as a professional point of contact for homeowners and adjusters, providing clear updates and maintaining project momentum.

Requirements

  • Significant experience working within the SERVPRO® system, specifically with DryBook™and franchise-based workflows.
  • Proficiency in Xactimate is a requirement. You should understand how to translate field notes into accurate line items.
  • A "sharp eye" for detail—you understand that a perfectly documented file is the key to a successful restoration project.
  • Excellent written and verbal communication skills, with the ability to manage documentation flow for multiple projects simultaneously.
  • High school diploma or GED.
  • Minimum 1–2 years of experience in restoration file coordination or estimating.
  • Ability to pass a background check.
