The Project Coordinator supports the planning, management, and execution of projects by coordinating communication, documentation, materials, scheduling, and administrative tasks. This role ensures alignment between project managers, superintendents, division managers, field teams, clients, vendors, and stakeholders. The Project Coordinator provides comprehensive project support including preparing documentation, maintaining schedules, coordinating materials and vendors, tracking progress, supporting safety compliance, and assisting field teams. This role ensures seamless project flow and helps maintain quality, accuracy, and efficiency. Requirements

  • Excellent organization and time management.
  • Strong written and verbal communication.
  • Proficiency in Microsoft Office Suite.
  • Experience with construction software (Bluebeam, PFP, PIL, etc.).
  • Ability to work independently and collaboratively.
  • Strong problem‑solving and attention to detail.
  • · Minimum of 2 years’ experience in an administrative/project type of role
  • · Construction Environment considered a strong asset.
  • - Knowledge, experience working in an office setting and on construction job sites
  • · Knowledge of CRM systems and Microsoft Office programs
  • - Ability to work in office and on commercial construction job sites

Responsibilities

  • Assist with project startup documents, submittals, job folders, safety files, and installation documentation.
  • Collect and organize manufacturer technical data and create warranty NOAs.
  • Verify material quantities, coordinate takeoffs, and obtain samples for delivery.
  • Host weekly project coordination meetings with PM, Superintendent, Foreman, and Division Manager.
  • Create and maintain project schedules using Microsoft Project.
  • Coordinate deliveries, vendor logistics, inspections, meetings, and communication with other trades.
  • Act as communication point with GCs, owners, manufacturers, inspectors, state representatives.
  • Track RFIs, change orders, submittals, drawings, and other project documentation.
  • Record and document meetings in Microsoft Teams and generate summaries.
  • Maintain Microsoft Teams boards to support roofing team coordination.
  • Assist in preparing PowerPoints and office project display materials.
  • Organize hazard assessments, JHAs, SDS sheets, and create project hazard binders.
  • Coordinate site safety training, visits, and complete monthly safety inspections.
  • Support PMs with PPE compliance and safety materials.
  • Monitor deliveries, verify packing slips, track inventory and equipment rentals, and process shop fabrication orders.
  • Assist with billing, process POs and invoices, track budgets and cost codes.
  • Collect photos, maintain as-builts, warranties, O&M manuals, closeout submittals, and equipment maintenance tags.
  • Provide field teams with installation guides, updated drawings, and help resolve field questions.
  • Track weather delays, site logistics, and assist with any field coordination needs.
