Joining our National Program Operations Team as a Project Coordinator, you'll play a key role in delivering project planning, coordination, and administrative support across departments, with a focus on California County Partners. You'll manage communication, coordinate event logistics and travel, maintain digital platforms and resources, and support collaboration across teams. This includes tracking project milestones, organizing data, supporting California scholarship initiatives, and ensuring timely follow-up on tasks. You'll also assist with budgeting, scheduling, and content management, and administrative support of our On-Call, Part-Time Employees (OCPTE) who support departmental projects. This is a fully remote position with light travel, and you must be located in California.

  • Develop plans, including timelines and milestones, and track project performance to ensure timely completion of tasks.
  • Work collaboratively with team members and other AVID Center departments, including California County Partners, to ensure efficient departmental and cross-departmental processes and procedures.
  • Manage communication, conduct research, assemble information from various sources, and manage the department budget as required.
  • Schedule and coordinate meetings with internal teams and external partners, take detailed notes, and follow up on action items to ensure progress.
  • Coordinate and support registrations and logistics for AVID Center events and trainings with a focus on both external and internal client support.
  • Organize and coordinate data, contracts, OCPTE time sheets, financial record keeping, reporting, and invoices.
  • Create, communicate, support, and maintain databases/spreadsheets, websites, correspondence, marketing, digital platforms/tools, and informational materials.
  • Minimum of a high school diploma.
  • At least 2 years of relevant experience in a project coordinator, or similar, capacity.
  • Exceptional interpersonal and written communication skills.
  • Ability to thrive in fast-paced environments and manage competing priorities.
  • Experience with logistical tasks and preparation of event planning.
  • Professional AVID experience (site-level or internal AVID Center experience) and knowledge of the AVID College and Career Readiness Framework.
  • Experience working with school districts in California and/or County Offices.
  • Experience with platforms such as Canvas, Salesforce, Smartsheet, and MyAVID.
  • Bachelor's Degree.
