About The Position

NV5's 5,000 consulting engineers, inspectors, and analysts play a critical role in shaping our communities through resilient infrastructure that will stand the test of time and efficient smart building systems for optimized facility environments. The Project Coordinator is responsible for daily project coordination, including implementing control standards and processes, as well as developing, maintaining, and modifying project schedules. The Project Coordinator prepares schedule reports and collaborates closely with Project Managers and other team members to ensure smooth delivery of customer service. This role requires strong written and interpersonal communication skills, excellent judgment, and the ability to work both independently and collaboratively within various project teams. Experience in public utility or consulting engineering environments is preferred. This role is in our Petaluma office with a hybrid schedule of 20 hours/week, 4 hours/day.

Requirements

  • High School diploma or equivalent.
  • Positive attitude and ability to work collaboratively.
  • Proficiency in MS Office and other relevant software.
  • 0-2 years of experience in project control or related roles.
  • 1-5 years of experience in a scheduling or office support role, particularly in public utility or consulting engineering settings.
  • Good written and verbal communication skills, highly organized, and detail-oriented.
  • Demonstrated ability to manage multiple tasks successfully in a fast-paced environment.
  • Strong interpersonal skills, including the ability to work effectively with leadership.
  • Experience in scheduling projects, including using project management software like Deltek VantagePoint.
  • Participating in client meetings.
  • Proven experience in tracking and reporting on project schedules, scopes, and budgets.
  • Ability to develop and implement process improvements.

Responsibilities

  • File receivables, deliverables, decisions, correspondence, issues/resolutions, and miscellaneous documents.
  • Assist with starting projects in NV5 systems like Deltek VantagePoint.
  • Create meeting agendas and take minutes as needed.
  • Manage document templates.
  • Learn and apply new software tools or systems as needed.
  • Maintain hard copy and electronic files, as required.
  • Maintain resources, projects, activity codes, user-defined fields, and calculations.
  • Book field and office travel, including hotels, flights, and car rentals.
  • Order office supplies, vehicles, and PPE items.
  • Reconcile company cards for the survey group.
  • Acquire badges for staff and safety clearances for various projects.
  • Manage vehicle tracking and maintenance.
  • Conduct Monday timesheet audits for the survey group.
  • Perform miscellaneous tasks as assigned.
