About The Position

Typical responsibilities include: Assist with data entry and maintenance of project tracking spreadsheets and logs Help organize and update project documents, schedules, and deliverables Support Project Managers and Project Controls staff with general coordination tasks Assist with meeting preparation, notes, and follow-up items as needed Support monthly invoicing activities by gathering backup, organizing information, and assisting with reviews Assist with tracking subconsultant invoices and coordinating documentation Maintain invoice and billing logs to support timely processing Update Excel-based trackers used for monitoring project status, schedules, and budgets Assist with compiling basic reports and summaries for internal use Learn and support project tracking and reporting processes over time Strong proficiency in Microsoft Excel (dynamic formulas, lookups, tables; Power Query or advanced functions a plus) Working knowledge of Microsoft Office (Outlook, Word, PowerPoint, Teams) Strong organizational skills and attention to detail Ability to manage multiple tasks and prioritize work Strong communication skills and willingness to ask questions

Requirements

  • Experience in an administrative, coordination, or support role
  • Interest in learning project controls, analytics, or reporting
  • Strong proficiency in Microsoft Excel (dynamic formulas, lookups, tables; Power Query or advanced functions a plus)
  • Working knowledge of Microsoft Office (Outlook, Word, PowerPoint, Teams)
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and prioritize work
  • Strong communication skills and willingness to ask questions
  • Bachelor’s degree in finance, business, or Accounting

Nice To Haves

  • Exposure to Power BI, scheduling tools, or project management software is a plus but not required
  • Experience in engineering, construction, or professional services environments is beneficial.
