About The Position

We are seeking a highly organized and proactive Project Operations Associate to support the coordination and execution of a large-scale industrial development project. The role involves summarizing meetings, following up on key action items, tracking invoices, performing market research, and managing planning tasks across the project timeline. This position plays a critical role in ensuring that information flows efficiently and that internal stakeholders are kept informed and aligned.

Requirements

  • Bachelor’s degree preferred (Business Administration, Planning, or Engineering-related field).
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word) and collaboration tools (Teams, Outlook).
  • Strong written and verbal communication skills in English; Korean language proficiency is a plus.
  • Ability to handle multiple priorities and work independently in a fast-paced environment.

Responsibilities

  • Manage receipt, review, processing, distribution, and archiving engineering and construction project documentation.
  • Maintain project document registers, workflows, metadata, and revision histories to ensure complete traceability and audit-readiness.
  • Monitor document workflows to ensure timely action by reviewers and approvers; follow up as needed.
  • Ensure all team members are using the most current and approved documents, drawings, and specifications.
  • Contribute to the development and continuous improvement of document control procedures, naming conventions, folder structures, and quality standards.
  • Work closely with Project Managers, Engineers, Designers, QA/QC, Procurement, and Construction teams to facilitate consistent document flow.
  • Coordinate with vendors, clients, and subcontractors on document submissions, format expectations, and compliance requirements.
  • Support project handover by organizing final documentation deliverables, including as-builts, O&M manuals, and required closeout packages.
  • Attend internal and external meetings with vendors, consultants, and government officials; summarize key points and circulate concise meeting notes.
  • Track and follow up on assigned action items and deadlines to ensure timely completion.
  • Collect and verify incoming invoices and supporting documentation before internal processing.
  • Prepare, update, and maintain planning schedules and task trackers for key project phases.
  • Conduct research on peer industrial parks, market conditions, and benchmarking data; compile findings into structured documents or presentations.
  • Assist in preparing the initial drafts and structure of internal/external reports, project presentations, and deliverables.
  • Support internal communication by distributing summarized findings, results, or notices to relevant teams.
  • Organize shared project documentation, folders, and version control for reports and files.
