About The Position

We have an exciting opportunity to join our team as a Project Assistant. In this role, the successful candidate is responsible for providing project/program support and a variety of moderately complex clerical functions. This includes gathering, receiving, classifying, reconciling, and consolidating data, moderate data analysis, coordinating efforts such as scheduling appointments, tracking, supervising surveys, preparing presentations, and more. The Project Assistant works under general supervision and performs other related duties for a supervisor or department.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of 1 year related experience in an office setting or equivalent combination of education and experience.
  • Effective oral, written communication, and interpersonal skills.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Access).
  • Ability to develop basic formulae for spreadsheets and set up routine computer procedures.
  • Ability to proofread documents and write clear, concise first drafts.
  • Ability to type at a speed of at least 45 net words per minute.
  • Knowledge of standard office practices.
  • Ability to multi-task while paying attention to details.
  • Ability to use standard office equipment such as copy machines, multi-line telephones, and fax machines.

Responsibilities

  • Provides project/program support in the preparation of project relevant materials.
  • Assists with project planning and implementation.
  • Manages logistics and coordinates content development for meetings, conferences, and other project-related events.
  • Assists with the design, development, and dissemination of project products and reports.
  • Coordinates and monitors project budgets.
  • Coordinates proposal development and manages the proposal process.
  • Assists with project data collection activities.
  • Receives, classifies, reconciles, and consolidates data.
  • Compiles and prepares routine factual forms and reports.
  • Researches problems, issues, and concerns and responds to requests for information.
  • Prepares and proofreads memos, reports, and applications.
  • Maintains routine calendar and schedules appointments.
  • Assists in preparing for conferences and special events planning.
  • Maintains office filing and storage systems.
  • Opens, sorts, routes, and distributes mail.
  • Provides clerical support to the department/unit.
