About The Position

Under general supervision, this position provides administrative, financial, and technical support for activities funded through the California Highway Patrol Cannabis Tax Fund Grant Program. The role focuses on assisting with the coordination, reporting, and compliance of grant-funded traffic safety and educational initiatives. This position is a Limited-Term Assignment. Employment in this classification is contingent upon continued funding and is not intended to become a permanent position. Grant funded positions do not qualify for merit-based pay increases. The City and State will evaluate the effectiveness of the position on an annual basis to determine the next fiscal year's funding level. Either party may terminate funding for the position at the end of each fiscal year, resulting in termination of the position. This position is currently funded until June 30, 2026

Responsibilities

  • Assist Manager, Sergeants and Officers with grant execution.
  • Review expenditures, process invoices, create requisitions and purchase orders, prepare grant reports, reconcile grant expenses and reimbursements, respond to CHP grant inquiries.
  • Utilize Tyler Financial System and Amplifund Grant Management System for grant expenses and tracking.
  • Maintain all financial records and supporting documentation pertaining to the performance of the grant projects.
  • Obtain proposals and order equipment and materials for grant projects.
  • Assist with enrolling Officers into training classes, travel logistics, reservations, post travel documentation, certificates and communication with Training Manager
  • Assist Sergeants and Manager with record keeping for grant projects, DUI checkpoints, and saturation patrols.
  • Schedule educational presentations, prepare course materials and provide administrative support for recordkeeping.
  • Coordinate DUI checkpoint schedule and locations with local emergency agencies
  • Process permits and traffic control plans for DUI checkpoints
  • Collect data and information from any stops or arrests
  • Compile statistics and create public messaging for each DUI checkpoint to share the outcome
  • Analyze data from DUI saturation patrols including stops, arrests, and DUI accidents
  • Plot data from DUI stops and arrests on GIS map to determine saturation patrol locations
  • Monitor patrol areas and provide data to analyze effectiveness of patrols
  • Schedule and manage logistics of education presentations, including preparation of materials
  • Work with Communications for social media campaigns to promote educational events
  • Design, order, and monitor inventory for education materials
  • Field calls and manage correspondence from project team members to maximize productivity
  • Conduct research and draft reports
  • Organize and monitor schedules
  • Perform community outreach
  • Performs other related duties as assigned
