About The Position

The Project Administrator supports project operations by coordinating project documentation, communication, and administrative activities within a construction environment. The primary purpose of this role is to help maintain organized project information, support coordination between project team members, and ensure project documentation and communication records are properly maintained to assist project execution. This role works closely with project managers, project engineers, and field teams to coordinate meetings, maintain project records, and organize project documentation. The position also supports the smooth flow of information between project operations and administrative staff to help ensure project documentation is accessible and organized. The ideal candidate has strong organizational skills, attention to detail, and the ability to manage multiple administrative responsibilities in a fast-paced project environment.

Requirements

  • Proficiency with Microsoft Excel, Outlook, Microsoft Teams, and Adobe Acrobat.
  • Strong organizational and document management skills.
  • Ability to manage multiple administrative and coordination tasks simultaneously.
  • Ability to maintain accurate records and organized documentation.
  • Strong written communication skills for meeting documentation and internal communications.
  • Ability to communicate professionally with project managers, field teams, subcontractors, and vendors.
  • High attention to detail and ability to follow defined processes.

Nice To Haves

  • Previous administrative or project coordination experience.

Responsibilities

  • Coordinate project meetings, internal discussions, and site visits for the project management team.
  • Prepare meeting agendas when requested and document meeting minutes.
  • Distribute meeting notes and action items to project team members following meetings.
  • Maintain organized electronic project file structures within designated project systems.
  • Track and maintain project communication records including meeting notes, correspondence logs, and document distribution lists.
  • Assist project managers and project engineers by compiling documentation required for project reporting or internal project tracking.
  • Organize project documents received from field teams, subcontractors, and vendors.
  • Maintain project documentation logs such as delivery logs, equipment rental logs, and internal document tracking lists.
  • Ensure project documentation is stored within established project file structures.
  • Coordinate with Document Control staff when formal document transmittals or controlled document processes are required.
  • Assist with gathering project documentation that may later support project reporting or billing review.
  • Maintain equipment rental tracking logs including start dates, end dates, and vendor information.
  • Track material deliveries and maintain delivery records received from field teams or vendors.
  • Organize supporting documentation related to equipment use and material deliveries for project team reference.
  • Maintain project contact lists including subcontractors, vendors, and project stakeholders.
  • Assist in coordinating communication between project managers, field teams, subcontractors, and internal departments.
  • Prepare routine project correspondence and distribute project updates as directed by project leadership.
  • Assist the project team with general administrative coordination required to support project execution.
  • Maintain organized project folders and ensure documentation is accessible to authorized project team members.
  • Support coordination between project operations and accounting administrative staff to ensure project documentation is available when needed.
