About The Position

Our growing construction-focused client is seeking a highly organized Project Administrator to support project management teams with administrative coordination, documentation, and project tracking. This role plays a key part in ensuring projects run smoothly by managing contracts, tracking project data, and supporting communication across teams. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced environment with multiple priorities.

Requirements

  • Associate degree or equivalent experience required; Bachelor's degree preferred
  • Minimum of 3 years of administrative experience , ideally in construction or project-based environments
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Ability to manage competing priorities and work independently
  • Detail-oriented with strong accuracy in documentation
  • Ability to support multiple projects and deadlines simultaneously
  • Strong communication and coordination skills
  • Problem-solving mindset with the ability to adapt in a fast-paced environment

Nice To Haves

  • Experience with construction management software (e.g., Prolog, Viewpoint) a plus

Responsibilities

  • Assist with preparation and administration of owner and subcontractor contracts
  • Track insurance certificates, bonds, and compliance documentation
  • Support project managers with contract execution and documentation
  • Participate in bid processes, including coordinating vendor outreach and organizing bid submissions
  • Assist in preparing bid documentation and tracking responses
  • Monitor submittals, RFIs, and project documentation to ensure timely completion
  • Prepare and distribute reports related to budgets, schedules, and project status
  • Assist with change order tracking and documentation
  • Help gather and organize documentation required for project closeout
  • Track subcontractor agreements, purchase orders, and budget-related data
  • Assist with assembling final project documentation packages
  • Provide general office support including answering phones, greeting visitors, and handling mail
  • Support multiple team members with administrative tasks as needed
