About The Position

Provides high-level support to the Department Chair and the Vice Chair for Academic Affairs in managing all Harvard Medical School faculty actions, including initial appointments, reappointments, promotions, and related academic processes, ensuring accuracy, timeliness, and full compliance with institutional policies. Develops, authors, and maintains comprehensive documentation aligned with HMS requirements for faculty appointments. Leads and oversees the full lifecycle of recruitment and onboarding for faculty, postdoctoral investigators, clinicians, and researchers. Responsibilities include coordinating search committees, posting advertisements, preparing offer letters and contracts, ensuring completion of HR-mandated employment documentation, and arranging necessary resources such as pagers, keys, and identification credentials. Collaborates closely with IT to ensure new hires receive appropriate equipment, system access, and workspace setup. Manages financial operations associated with HMS endowments and other special funds, including budgeting, billing, and account reconciliation. Provides support to the Chief Administrative Officer on annual budget development, financial analyses, proformas, and various strategic or special projects.

Requirements

  • High School diploma or GED required; Bachelor's degree preferred.
  • 1-3 years related work experience required, 2 or more years of progressively responsible experience in project management and/or business administration, preferably in a healthcare setting.
  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications.
  • May produce complex documents, perform analysis and maintain databases.

Nice To Haves

  • Additional training in project management preferred.
  • Experience in an academic or healthcare environment preferred.
