About The Position

The Project Administrator will be responsible for various tasks related to documentation, organization and team coordination throughout the lifecycle of the project. This role involves collaboration with Program Management personnel on business and contractual matters, maintaining documentation, ensuring compliance with contract requirements, and assisting in the preparation of reports and meetings. The Project Administrator will also be responsible for the administration of contracts, tracking project milestones, and developing schedules and templates for documentation.

Requirements

  • Minimum of high school diploma with two years of experience, or combination of equivalent experience and training.
  • Bachelor's degree is preferred.
  • Experience in professional writing, editing, and document production required.
  • Excellent organizational skills and ability to work well under stress.
  • Accuracy and attention to detail.
  • Ability to work independently and resolve practical problems.
  • Effective leadership with excellent written and oral communication skills.
  • Ability to deal effectively and tactfully with a wide variety of individuals.
  • Strong multitasking skills.
  • Strong computer skills in word processing, spreadsheets, databases, and MS Office Suite.
  • Experience authoring responses to statements of work and management plans.

Nice To Haves

  • Microsoft SharePoint, Visio, and Project experience.
  • Adobe software experience, including Acrobat Professional and Creative Suite.
  • Federal and DoD contract experience.
  • Some U.S. Government acquisitions experience.
  • Experience working with Government contract vehicles including ID/IQs and Multiple Award Contracts.
  • Knowledge of proposal preparation, contract or pricing functions, and industry practices.

Responsibilities

  • Work and collaborate with Program Management personnel on business and contractual matters.
  • Maintain proposal, project and contractual documentation including contract repositories.
  • Ensure compliance with contract requirements and perform all other position related duties as assigned.
  • Act as focal point for ongoing issue resolution, including compliance and payment issues.
  • Administer commercial and U.S. Federal contracts based on project milestones.
  • Develop and maintain tracking lists for proposal, deliverable, project and contract management.
  • Ensure team compliance with project and contract requirements.
  • Assist Program Manager in preparation of monthly and financial reports.
  • Organize project, proposal and contract meetings and assist in preparation of materials.
  • Prepare documentation for employee permits, security, certification, and travel requests.
  • Design and produce technical documentation, including information sheets and presentations.
  • Convey complex information to audiences with different levels of technical knowledge.
  • Document and capture information from meetings and presentations.
  • Research, analyze, and cite reference materials.
  • Design professional document templates for internal and external use.
  • Write, edit, and proofread contract materials in response to client requests.
  • Conceptualize graphics and other presentation techniques.
  • Coordinate and assist with contract and proposal deliverables production.
