About The Position

The primary focus of this role is to provide a wide range of administrative services for project construction & operations managers. To execute this role effectively the assistant should have a high degree of situational awareness and be technically proficient, able to work independently, proactive, flexible, adaptable, self-motivated, and a team player. Works effectively in a complex and demanding environment while maintaining a professional attitude and demeanor. Continually requires a high degree of autonomy. The role necessitates collaborating with multiple projects and departments. Kiewit's Southern California District is one of Kiewit's leading infrastructure districts specializing in heavy civil projects that include earth moving, water/wastewater, transportation, roadways, and power projects. Most of our work is concentrated in the Southern California region. This opportunity will be based out of our project site in Abilene, TX; local candidates are preferred.

Requirements

  • High School Diploma with at least one year of experience as administrative assistant
  • At least one year of meeting and event planning experience
  • Be able to lift 15-20 pounds (office supplies, cases of paper)
  • Highly flexible and able to work efficiently in a high-volume, deadline-driven environment
  • Be highly organized with exceptional time management skills
  • Ability to prioritize and work effectively under pressure in a fast-paced environment, sometimes with minimal guidance
  • Requires skills in using computer applications for word processing, spreadsheets, databases, internet navigation, e-mail, and calendars
  • Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) with the ability to learn and adapt to new programs and processes
  • Regular, reliable attendance
  • Work productively and meet deadlines timely
  • Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
  • Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
  • Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
  • May work at various different locations and conditions may vary.

Responsibilities

  • Provide onsite administrative support to the Project Engineering, Construction, & Operations team
  • Maintain and review computerized or manual records of items purchased, costs, deliveries, product performance and inventories.
  • Serve as a back-up to other office administrative staff
  • Organize and schedule meetings and appointments, book meeting rooms, handle any special requests
  • Process expense reports, invoices, and orders
  • Perform clerical tasks including data entry, filing, photocopying, scanning, etc.
  • Perform other administrative duties as required or assigned
