About The Position

Trevi specializes in state-of-the-art metal fabrication, catering to a wide range of clients such as luxury residential, vibrant dining and nightlife spots, captivating museum displays, and immersive themed venues. Our comprehensive range of services includes design consultation and support, detailed shop drawings, meticulous fabrication and finishing, and efficient delivery and installation. Trevi is looking for our next Project Administrator. Our Project Admin will be responsible for providing support to the project management team, helping ensure projects finish on time and within projected budgets. While this role will primarily be supporting a project manager, it will also provide some auxiliary support to our Shop Manager and Senior Technical Director too. This position is based in Las Vegas, NV.

Requirements

  • 1-3 years of experience in the following role(s): Administration, Project Admin/Management
  • Must possess the ability to efficiently operate Microsoft Office, namely Excel, Word, PowerPoint, and Outlook.

Nice To Haves

  • Fabrication experience preferred but not required.
  • Undergraduate degree in engineering, construction management, architecture, or interior design.
  • Field experience in any Division 9 trades.
  • Experience in the construction industry.
  • Experience with Procore, AutoCAD, Revit, and/or Bluebeam.

Responsibilities

  • Handling email correspondence between the Trevi team and external parties, be they clients, owners, or contractors.
  • Helping schedule and attending relevant meetings.
  • Recording meeting minutes, providing copies of said minutes to all relevant parties upon completion.
  • Following up on pending items/correspondence from the Project Manager, Shop Manager, and/or Senior Technical Director if the requested information/items have yet to be received.
  • Create and maintain project management calendars.
  • Monitor key milestones such as RFI deadlines, site visits, and bid due dates.
  • Maintain organized project files, both digital and physical.
  • Log, track, and distribute submittals, RFIs, shop drawings, samples, and revisions.
  • Ensure proper version control of drawings and project documents.
  • Assist with contract documents, transmittals, and correspondence.
  • Assist with vendor documentation.
  • Track change order documentation and cost-related records.
  • Support project closeout documentation, including warranties and manuals.
  • At the direction of the department leadership, help prepare/present information to management and clients alike.
  • Other job duties as assigned.
