The Role The Billing Team Lead serves as a key liaison between billing staff, project managers, and leadership. This role ensures the accuracy, timeliness, and consistency of billing operations while providing guidance and oversight to billers. The Team Lead is responsible for managing complex billing workflows, resolving discrepancies, and driving process improvements to support the financial health of projects. This position also plays a proactive role in supporting supervisors, maintaining team focus, and managing billing cycles.

Requirements

  • 4-10 years of billing experience, preferably in engineering, architecture, or construction industries.
  • Associate or bachelor's degree in accounting, finance, or a related field.
  • Proficiency in Microsoft Excel and experience with Dynamics or similar accounting software.
  • Proven ability to lead, motivate, and support a billing team in a fast-paced environment.
  • Demonstrated ability to identify discrepancies and resolve errors with precision

Nice To Haves

  • Familiarity with government billing and audits preferred (e.g., WAWF, DCAA, PANYNJ, FAR, GSA).

Responsibilities

  • Set up new projects and monitor the status of existing projects in the accounting system and oversee the project close-out process for completed projects
  • Review and approve high-volume monthly client invoices for accuracy and compliance with contract terms and corporate guidelines.
  • Support Concierge Billing processes and ensure high-touch service delivery.
  • Assist with backlog reporting and Office Earnings Reports for revenue recognition.
  • Participate in the cycle clean-up process to ensure billing accuracy and completeness.
  • Provide guidance and mentorship to billing staff, assisting with complex billing issues and account reconciliations.
  • Act as the first point of contact for escalated billing inquiries and discrepancies.
  • Collaborate with the Supervisor to help address team needs and priorities.
  • Coordinate workload distribution and ensure billing deadlines are consistently met.
  • Identify inefficiencies in billing workflows and recommend improvements.
  • Ensures billing practices comply with company policies and financial regulations.
  • Supports the supervisor in implementing new procedures and training plans.
  • Communicate professionally with project managers, clients, and internal teams to resolve issues and provide timely updates.
  • Assist the collections team in following up with internal and external clients on outstanding invoices.
  • Support the accounting department with audits and special projects, including government agency billing and compliance.
