The Progress Notes Clerk at Bienvivir Senior Health Services plays a crucial role in ensuring the continuity of care for frail seniors by managing the follow-up process for outside medical appointments. This position involves confirming attendance at appointments, obtaining necessary medical documentation, and maintaining accurate records within the clinic's electronic medical record (EMR) system. The clerk will work closely with various departments to facilitate communication and ensure that all relevant information is processed efficiently.

  • Follow up on outside appointments to confirm attendance and update appointment status in the EMR.
  • Communicate with specialist offices to obtain progress notes and other relevant documentation.
  • Update the matrix to reflect received paperwork and ensure EMR is current.
  • Document call details in the EMR, including dates and names of contacts.
  • Provide updates to the Clinic Manager and other staff on pending progress notes and appointment statuses.
  • Collaborate with clinic staff to ensure timely processing of progress notes for the Medical Records department.
  • Maintain an organized filing system for tracking workflow and relevant documents.
  • Update the automated system daily to reflect the status of progress notes.
  • Provide billing authorizations to specialist offices for participant procedures.
  • Work with the billing and claims department to authorize imaging and specialist consults.
  • Collaborate with the Medical Records department to review and update medical record documents.
  • Prepare periodic and special reports by gathering and compiling data from various sources.
  • Maintain records of ER visits and ensure documentation is uploaded to the Medical Records department.
  • Ensure accurate and timely data entry using the automated system.
  • Order supplies for clinic and participant care needs.
  • Cross-train to provide coverage for Medical Assistants during absences.
  • Build professional rapport with clinic staff and physician/specialist office staff.
  • Complete projects and perform other duties as assigned by the Director of Nursing or Clinic Manager.
  • High School Diploma or equivalent.
  • Medical Assistant Certification preferred.
  • One to two years of medical and office/clerical work experience preferred.
  • Bilingual preferred (English/Spanish).
