About The Position

Florida Atlantic University is seeking a Programming Coordinator, Broward Campuses - Davie, FL. The Programming Coordinator for the Broward Campuses provides high‑level administrative, operational, and programmatic support to the Associate Vice President for Academic Affairs. This role manages complex scheduling, communications, travel, events, and special projects while serving as a key liaison to campus partners, community leaders, and workforce development initiatives. The Coordinator plays an essential role in organizing academic programming, supporting credentialing efforts, facilitating events, and ensuring smooth day‑to-day operations within the Broward Administration.

Requirements

  • Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.

Responsibilities

  • Support the Associate Vice President for Academic Affairs, Broward Campuses.
  • Maintain the AVP's calendar, including coordinating calendar events for the AVP and Broward administrative team.
  • Maintain a directory of contacts who regularly liaise with the AVP.
  • Manage the AVP’s calendar by communicating with partners and by managing Calendly or another calendar service.
  • Arrange meetings and conferences: send doodle calendars, set up the virtual links, and send calendar invites.
  • Create agendas, send agendas to meeting participants, and follow up with meeting notes distributed to all participants.
  • Coordinate and book all travel on behalf of the AVP.
  • Manage spend authorizations, expense reports, and reservations.
  • Abide by University travel policies and provide guidance to AVP on travel expenses.
  • Secure and schedule conference rooms and make sure technology works in advance of the start of the meeting, as needed for in-person meetings.
  • Coordinate the planning and scheduling of events and special guests for the FAU Broward Campuses hosted by the AVP and/or Broward Campus Administration.
  • Submit all related audiovisual and room setup work orders.
  • Work with Campus Administration to manage parking requests and invoicing for facilities use.
  • Provides support to the AVP for special projects, including background research and development of PowerPoint presentations.
  • Send out emails and memos on behalf of the AVP.
  • Proofread and make any necessary corrections prior to sending.
  • Collaborate with Broward Administration team members, including but not limited to the Workforce Innovations Network (WIN) and Florida Office of Ocean Economy (FOOE) teams, the Executive Director, to design, implement, and manage credentialing programs in partnership with COCE and other academic or training departments, both at FAU and beyond.
  • Support the creation of program materials, schedules, and resources to ensure the successful delivery of workforce development programs.
  • Plan, facilitate, and host events, workshops, and roundtables with community leaders, employers, and partners to identify workforce gaps and opportunities.
  • Represent WIN at community meetings, conferences, and networking events to promote workforce development initiatives.
  • Collect, monitor, and analyze key metrics related to WIN programming, including participant outcomes, credential attainment, and employer engagement.
  • Prepare regular reports and presentations for internal and external stakeholders to demonstrate program impact and inform strategic decisions.
  • Providing logistical and operational support to the AVP’s executive staff.
  • Regularly handles highly confidential/sensitive information.
  • Collaborates with senior-level executives from both within and outside the university to provide broad support for the academic enterprise.
  • Work closely with Broward Administration leadership to establish and maintain administrative policies, ensuring consistency and compliance with the Provost’s Office and University guidelines, regulations, and policies.
  • Establishes and documents operational backup processes for each unit.
  • Maintain the appearance of common areas in the Executive Suite.
  • Identify and fulfill office supply and office equipment needs.
  • Preforms other job-related duties as assigned.
