About The Position

The Program Support Associate supports Cornell Cooperative Extension of Albany County’s mission by helping programs and events run smoothly. This role provides day-to-day administrative and logistical support, assists in delivering programs, and helps ensure staff and program participants have positive experiences. The position requires flexibility, careful attention to detail, and the ability to manage tasks efficiently, along with a positive, helpful attitude and a willingness to support a variety of activities. We firmly believe in work-life balance and provide generous paid time off. This position is full-time. Compensation is paid at the rate of $22.50 per hour and includes 21 Vacation days, 14 Holidays, 3 Personal days and 12 Sick days annually. Mileage for work related travel is reimbursed. Requirements

  • Associates Degree. A GED/High School Diploma plus 1 year of transferable functional experience may substitute for an Associate’s degree.
  • Experience relevant to the role of the position.
  • Ability to perform tasks accurately and assist in delivering programs.
  • Ability to meet the regular travel demands of the position.
  • A valid NYS driver's license and ability to drive and driving record acceptable for agency insurance coverage are required.
  • Ability to work flexible hours, which may include evenings and/or weekends, as appropriate.
  • Ability to use MS Office Suite, virtual meeting software.
  • Ability to use and manage data, databases, spreadsheets.
  • Ability to effectively communicate verbally and in writing.

Responsibilities

  • Assist in delivering programs as assigned.
  • Interact with program participants as part of program delivery.
  • Serve as subject matter resource; provide standard responses.
  • Represent CCE before the public, community leaders, Cornell, or others.
  • Assist with planning and managing programs, events, and meetings.
  • Assist with managing program data collection and reporting.
  • Quickly identify and report issues that arise.
  • Solve problems using appropriate policies and procedures.
  • Coordinate meetings, events, registrations, and room reservations.
  • Order and manage supplies, materials, and food; maintain inventory.
  • Set up and break down events, including equipment, meals, and clean-up.
  • Enter data and assist with reporting and recordkeeping.
  • Provide basic technology support for programs and events (Zoom, cameras, connections, etc.).
  • Greet visitors, respond to inquiries, and direct them to appropriate staff or resources.
  • Provide administrative support to supervisors and staff (photocopying, collate packets, filing, etc.).
  • Perform basic bookkeeping tasks, including expense processing and documentation.
  • Coordinate vendors, quotes, invoices, and deliveries.
  • Assist with communications and marketing efforts (announcements, email, social media).
  • Support tabling and exhibit requests, including scheduling and materials preparation.
  • Maintain organized files and documentation.
  • Assist with fundraising activities.
  • Complete and submit required reports and records in a timely manner.
  • Maintain confidentiality of information regarding all program participants.
  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.
  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.
  • Support the Association to maintain a safe working environment.
  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.
  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.

  • Contribute to the overall success of the organization by performing all assigned duties in a professional, timely and accurate manner.
