About The Position

The Adult Skills Center (TASC) provides innovative and proactive services that empower individuals with diverse intellectual, developmental, and mental health needs to achieve their highest level of Independence and realize their greatest potential. Under the supervision of the Director of Operations, the Administrative Coordinator - Program Specialist I must communicate work effectively with other TASC Employees, Program Coordinators, and/or Directors as needed. The Program Specialist I must be able to work successfully with minimal to no supervision.

Requirements

  • Bachelor’s degree (B.A.) or equivalent from four-year college or university and/or relevant experience preferred
  • In-person position with the ability to work remotely (home or alternate office in the AV, Frazier Park, Mojave, SFV, or SCV worksites) upon request, as needed
  • Must be able to work well with diverse people and cultures, persons with intellectual and developmental disabilities and all persons with barriers to employment
  • Requires initiative, creativity, and the ability to work independently with minimal supervision
  • Must be proficient in Microsoft Office Suite with the ability to learn and adapt to new software
  • Ability to work remote (home/alternate location)
  • Ability to maintain confidentiality
  • Must be able to successfully complete First Aid/CPR and other training as required
  • Maintain all certifications up to date
  • Must have current California Driver’s license/Insurance and clean DMV
  • Must receive criminal record clearance through the DOJ
  • Ability to drive for work to/from multiple locations, maintain valid driver’s license and up-to-date car insurance
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • While performing the duties of this job, the employee is regularly required to sit; use hands and fingers; handle or feel; reach with hands and arms; talk; and hear. The employee is frequently required to walk, balance, stoop, kneel, and/or crouch. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. Keyboard data entry required.

Responsibilities

  • Office & Administrative Support
  • Greet and assist visitors, staff, and clients in a warm, professional manner
  • Monitor site entry, answer phone calls, and respond to general inquiries
  • Organize mail, packages, or any deliveries and distribute appropriately
  • Responsible for ordering supplies, snacks, and any other supplies needed for the office
  • Track, manage, and reconcile petty cash on a monthly basis
  • Manage office drop-in reservations
  • Responsible for office cleanliness (kitchen, front desk, restrooms, and any other areas as assigned; take out the trash from all offices and kitchens on a daily basis; clean out refrigerator on a weekly basis)
  • Assist with decorating the office for events and holidays as requested by supervisor
  • Assist with maintaining bulletin board and other publicly posted staff announcements up to date
  • Assist with printing, scanning, and faxing as needed
  • Assist with maintenance of office appliances and submit repair orders as needed
  • Assist with facility maintenance and coordination of facility maintenance (liaison for any vendors)
  • Manage and assist janitorial and any related duties as necessary
  • Assist with assembling furniture as needed
  • Program Assistance
  • Ensure program supplies are fully stocked
  • Ensure program rooms are clean and maintained hazard free
  • Assist all programs with any duties as requested (spreadsheets, printing, tablets, etc.)
  • Assist with Program Events – attend committee meetings and manage any duties assigned within that committee (handling of money, money collection, setup/cleanup, etc.)
  • Run errands for programs as needed
  • Provide coverage for transportation as needed (distributing keys, assisting with any vehicle breakdowns, assist with documentation, etc.)
  • Payroll
  • Responsible for the collection, organization, finalization, and auditing of all Meal Break Attestation Forms and Clock In/Out Error Forms each pay period
  • Assist with other payroll related assignments as requested
  • Perform other duties as assigned
  • Perform other off-site duties as assigned
  • Participate in weekly meetings, trainings, etc. as assigned by supervisor
