About The Position

The Probate Court Services Specialist provides mid-level administrative and operational support to the Probate Court Services program. This role ensures accurate preparaton, tracking, and submission of court and program documentation related to prescreening investigations and the Outpatient Community Probate Program. This position supports strict legal timelines, maintains organized records, and faciilitates communication across courts, hospitals, and community partners. This role is primarily behind-the-scenes administrative coordination, with occassional direct interaction with clients, families, and court personnel. The Support Specialist does not perform independent clinical assessments or legal determinations. The ideal candidate demonstrates reliability, strong organizational skills, attention to detail, and the ability to function effectively within a behavioral health and legal environment. Requirements

  • Associate or Bachelor's degree in administrative, human services, or related field preferred. Equivalent work experience may be considered.
  • Experience in behavioral health, legal, court, or social service settings.
  • Experience supporting compliance-driven or time-sensitive processes.
  • Experience with case tracking or database management.
  • Demonstrated reliability, organization, and attention to detail.
  • Ability to function effectively in a multi-disciplinary environment.

Nice To Haves

  • Professional licensure in behavioral health is not required but may be beneficial.

Responsibilities

  • Prepare, organize, review, and submit court and program documentation to ensure accuracy and compliance with deadlines.
  • Provide administrative support for prescreening investigations and Outpatient Community Probate processes.
  • Maintain tracking systems, case logs, and internal databases with high accuracy.
  • Schedule hearings, meetings, and coordination activities with courts and partner agencies.
  • Monitor time-sensitive legal requirements and alert staff to critical deadlines.
  • Attend hearings on occasion to support documentation and administrative coordination.
  • Assist with preparation of materials for court hearings and program reporting.
  • Maintain secure electronic and physical records in compliance with confidentiality standards.
  • Serve as an administrative liaison between staff, courts, hospitals, and community providers.
  • Provide procedural guidance and paperwork assistance to walk-in clients and families (non-clinical)
  • Provide general program and office support.
  • Support data collection, reporting, and quality tracking.
  • Other duties as assigned.
