The Program Specialist I, under general supervision, performs entry-level specialist duties for a department, college, or division. Compensation will be commensurate to the selected hire’s experience. A cover letter and resume are strongly recommended.

Requirements

  • Bachelor’s degree in a relevant field or an equivalent combination of education and experience
  • Strong ability to multitask and collaborate effectively with colleagues and partners.
  • Excellent command of written and spoken English.
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Word.
  • Strong capability with social media platforms such as LinkedIn, Facebook, Instagram, X, etc.
  • Experience with design and communication tools such as Adobe Photoshop and Illustrator.
  • Ability to work independently as well as collaboratively in a fast-paced, dynamic environment.
  • Flexibility in adapting to changing work schedules and tasks, including occasional non-standard working hours.

Nice To Haves

  • Three years of related experience preferably in higher education.
  • Experience in a university environment developing and implementing programs that promote research.
  • Experience in administering programs.
  • Experience with analyzing and resolving conflicts, team building, group dynamics, and problem solving.

Responsibilities

  • Assists in planning, developing, implementing, coordinating, and monitoring programs and services.
  • Assists in the coordination of assigned programs.
  • Assists with community meetings and materials.
  • Assists in planning, developing, implementing, coordinating, and monitoring specialized programs such as conferences, seminars, workshops, and meetings to facilitate program goals.
  • Coordinates specialized program communications and marketing materials.
  • Assists in the development of policies and procedures.
  • Assists with proposal development and program reports.
  • Assists with the many administrative duties required by grants, including booking travel for participants, coordinating travels, processing travel reimbursements, and managing stipends.
  • Liaises with participants in the programs to ensure all administrative processes are completed correctly.
  • Assists in the preparation of annual budgets, reports, and other documents.
  • Creates, establishes, and maintains program files, databases, correspondence, and program materials.
  • Supports purchase orders and requisitions.
  • Coordinates with the operation team.
  • Coordinates communications with international partners, program participants, and other collaborators through meetings and follow-ups.
  • Schedule, attend, document meetings, conferences, and other collaborative activities.
  • Serves as the primary point of contact for program inquiries and coordination information and coordinates responses to requests for program information via email and social media.
  • Design and produce materials such as brochures, pamphlets, and posters.
  • Promote program activities, events, outcomes and other program-related information via social media and other platforms.
  • Assists in researching industry programs.
