About The Position

The Program Specialist I - Fleet Program, under general supervision, coordinates and oversees all activities related to the receipt, preparation and distribution of new fleet vehicles, as well as the surplus auction to dispose of surplus vehicles and property. This position ensures that vehicles are delivered in fleet-ready condition (logos, fuel card, mileage log binder and miscellaneous equipment) to end users and that surplus assets are processed and disposed of in accordance to agency and state requirements. They will also coordinate the receipt, inspection and documentation of new fleet vehicles in compliance with agency and state requirements. As well as coordinating Fire Quench and Burn Ban Flag caches: replenishment, inventory and order fulfillment. Assist with Helping Hands as needed.

Requirements

  • Required Education: Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Required Experience: No prior experience required.
  • Required Knowledge: Intermediate knowledge of MS Office applications. Intermediate automotive mechanical knowledge; mechanical aptitude.
  • Required Skills: Sound judgement. Strong attention to detail. Strong interpersonal skills. Strong organizational skills. Highly self-motivated.
  • Required Abilities: Able to work independently and on team projects. Ability to develop/update processes and procedures. Perform most duties with minimal instruction and supervision with a high degree of accuracy. Set priorities and meet deadlines in a fast-paced environment. Multi-task and work cooperatively with others.
  • Required: Valid Texas Driver's license or ability to acquire one within 30 days of employment.

Nice To Haves

  • Preferred Experience: Four (4) or more years of combined experience in the following areas: fleet management, automotive maintenance and customer service
  • Preferred: Familiarity with commercial vehicles.

Responsibilities

  • Coordinates the receipt, inspection and documentation of new fleet vehicles. Oversees vehicle preparation for delivery to end users, including instillation of logos, fuel card, mileage log binder, radio equipment and required/optional accessories. Manages scheduling and communication with departments and staff to ensure timely vehicle delivery.
  • Administers the surplus auction process for vehicles and property, including inventory tracking, preparing items for auction and ensuring compliance with agency and state surplus property regulations.
  • Maintains accurate records of property transfer and auction sales.
  • Coordinate Fire Quench and Burn Ban Flag caches: replenishment, inventory and order fulfillment.
  • Assist Helping Hands program as needed.
  • Ability to interpret and apply applicable policies, procedures and regulatory requirements. May supervise staff and seasonal workers engaged in vehicle preparation or surplus property functions .
  • Other duties as assigned.
