The Program Specialist 3 in the Running Start office at Olympic College plays a crucial role in supporting the program's recruitment, outreach, admissions, advising, orientation, and reporting functions. This position requires close collaboration with program participants, parents, staff, high school personnel, and external entities to ensure the smooth operation of the Running Start program. The specialist is responsible for managing, monitoring, and tracking admission standards, participant eligibility, and academic progress for all Running Start students, including potential program participants. Additionally, the role involves managing and completing all billing and grade reports to the high schools and districts, as well as resolving complex problems or issues that may arise during the process. Essential functions of the position include monitoring, tracking, and processing program applications to determine placement and eligibility. The specialist will review program applications and high school transcripts for completeness, contacting applicants for any missing items. Maintaining databases such as SharePoint for program admission data entry is also a key responsibility. The specialist will provide support and backup for the front desk of Running Start and other Dual Credit programs, assist with outreach for Dual Enrollment programs, and create and submit enrollment and grade reports for high schools and districts. Coordination with the Accounting Department is necessary to ensure accurate Running Start billing, and advising assistance will be provided to Dual Enrollment students as needed. The role requires extensive interaction with students, staff, and the public, necessitating strong customer service skills. The specialist will provide assistance through various channels, including in-person, written, telephone, Zoom, and email communications. A deep understanding of the needs of the community college and its students is essential, along with the ability to comprehend complex oral and written instructions. The specialist must demonstrate strong organizational and analytical skills, prioritize and organize assigned work independently, and contribute positively to a team environment. Excellent oral and written communication skills are crucial, as is the ability to foster a climate of understanding and appreciation for diversity among individuals from various cultural, geographic, and socioeconomic backgrounds.
