About The Position

Responsible for coordinating and scheduling patient appointments to ensure efficient use of provider time and resources. This role serves as a primary point of contact for clients and plays a key role in providing excellent client experience through clear communication, attention to detail, and compassionate service. Scheduling priorities will begin with Low Vision Clinic and then expand as needed to other service areas.

Requirements

  • High school diploma or equivalent required; associate degree or medical office training preferred.
  • Minimum 1 year of experience in a medical office or healthcare scheduling environment preferred.
  • Ability to work with electronic records, email and other data management software.
  • Excellent communication and customer service skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Proficient in Microsoft Office Suite and data entry.
  • Demonstrated ability to work both independently and collaboratively.

Responsibilities

  • Schedule, reschedule, and confirm client appointments via phone, email, and/or text.
  • Coordinate appointments based on provider availability, client needs, and clinic capacity.
  • Verify and update client demographics, insurance information, and referral requirements prior to appointments.
  • Communicate with providers and administrative staff to ensure efficient service delivery.
  • Answer incoming calls and respond to client inquiries in a professional and timely manner.
  • Manage waitlists, cancellations, and follow-up appointments to optimize scheduling efficiency.
  • Maintain client confidentiality in accordance with HIPAA regulations and agency policies.
  • Assist with pre-authorization or referral processes when required.
  • Support front desk and administrative operations as needed.
