About The Position

The Program Director reports to the Multi-Site Program Supervisor and is responsible for managing daily operations, safety, staffing, fiscal operations, administrative requirements, and stakeholder development for a school-based after-school program. They also serve as the site’s Mental Health and Inclusion lead. Responsibilities include, but are not limited to:

Requirements

  • Required educational and professional experience must include one of the following: o An associate’s degree in child development, elementary education, physical education, recreation or a related field and two years of direct experience working with children less than 13 years of age, including at least one year in a supervisory capacity in a childcare program or related field of work; or o A New York State Children’s Program Administrator Credential and two years of direct experience working with children less than 13 years of age, including at least one year in a supervisory capacity in a childcare program or related field of work; or o A School-Age Child Care Credential or other Office-recognized credential specific to the school-age developmental period and two years of direct experience working with children less than 13 years of age, including at least one year in a supervisory capacity in a childcare program or related field of work; or o Two years of college with 18 credits in Child Development, Elementary Education, Physical Education, Recreation or a related field; and two years of direct experience working with children less than 13 years of age, including at least one year in a supervisory capacity in a childcare program or related field of work.
  • Must complete required trainings related to Mental Health and Inclusion responsibilities as assigned.
  • Excellent leadership, supervisory, and team-building skills, including the ability to motivate, align staff efforts to changing priorities and approaches, set goals, and manage staff performance so as to ensure effective service delivery in accordance with organizational goals and program contracts.
  • Excellent organizational skills, attention to detail, ability to prioritize, meet deadlines and multitask in a fast-paced environment
  • Must be an effective communicator and possess strong speaking and writing skills.

Nice To Haves

  • Experience in the utilization of program-related online systems, and strong knowledge of funder, licensor, and NYCPS requirements is preferred.

Responsibilities

  • Supervise all aspects of a school-based after-school program.
  • Manage daily program operations and coordinate with the school’s administration, teachers, secretaries, cafeteria, and custodial staff as needed.
  • Organize program logistics, such as schedules, lesson plan collection, snack and space reservations, trips, supply requests, and programmatic needs.
  • Build relationships with the school principal and administrative team to facilitate seamless integration of NIA staff and expanded hours into the overall school culture.
  • Serve as NIA’s on-site representative and liaison, building and maintaining positive relationships with all stakeholders (participants, parents, school staff and administration, funders, the community, program staff, and NIA).
  • Lead efforts in the interviewing, hiring, managing, training, and coaching of program staff, with support from Multi-Site Program Supervisor and NIA’s Human Resources department.
  • Serve as the on-site Mental Health Support designee, working with the Director of Wellness and Family Resources to ensure that all staff complete required training related to mental health supports.
  • Personally complete all related mandatory mental health training topics, including Mental Health Spectrum and Mental Health Crises, as well as Importance of Implementing an Organizational Crisis Navigation Plan.
  • Work with the Director of Wellness and Family Resources and school partners to establish a program mental health response and referral plan, and ensure the site’s adherence to the established plan.
  • Serve as an Inclusion Coordinator to help participants, families and other staff identify and access resources and tools to address special participant needs.
  • Manage participants’ Individualized Accommodation Plans and maintain Student Behavioral Support Plans and Logs
  • Coordinate on-site support services and off-site referrals for children with special needs.
  • Conduct classroom observations; assess and evaluate staff on a consistent basis and address concerns as they arise and ensure activity content and program operations support program goals and desired outcomes.
  • Review lesson plans weekly with support from Content Specialist; support the development of curriculum maps, unit plans, and lesson plans.
  • Create a dynamic after-school program that includes academic enrichment, project-based experiential learning opportunities, visual and performing arts, sports and fitness, STEM, literacy, leadership, and life-skills activities.
  • Plan program events, including culminating events showcasing participant work, family engagement events, holiday and cultural celebrations, and collaborative events in partnership with the hosting school.
  • Ensure that assigned program operates safely, including maintaining safe spaces and program practices; adhering to requirements for scheduled fire drills and other safety drills; being vigilant of staff and student interaction, signs of child abuse/maltreatment/neglect, and signs of mental health emergencies.
  • Respond according to established organization and site-based plan in the event of on-site injuries or medical emergencies.
  • Ensure that the program operates in compliance with all DOH/licensing mandates, and host announced and unannounced visits from local inspectors. Work alongside Multi-Site Program Supervisor to ensure program responsiveness to any follow-up items needed for licensing approval.
  • Adhere to all funder regulations and meet all contractual obligations, including in the area of enrollment and rate of participation.
  • Lead on-site recruitment and program advertising efforts.
  • Maintain accurate and up-to-date attendance data and meet deadlines for data entry into funder database; maintain all administrative funder requirements (emails, calls, other reporting, workscopes, trainings, etc.).
  • Host announced and unannounced visits from funding agency, working cooperatively to ensure all required information is provided.
  • Maintain accurate time and attendance records for all staff, current staff and student files, incident and accident reports, and other required site postings, documentation, and student data.
  • Remain responsive and accountable on all administrative tasks, including responding to emails and phone calls in a timely manner, adhering to submission deadlines, and completing all administrative tasks as assigned.
  • Attend school leadership team meetings, PTA meetings, building safety meetings, etc. to ensure program is aligned with building needs.
  • Maintain open channels of communication with participants’ families, working closely to ensure the needs of each child are met and parents stay apprised of any notable successes or challenges.
  • Create a strong sense of community which values respect, ensuring that all children and families feel welcome and a sense of belonging.
  • Conduct annual performance reviews for all assigned staff.
  • Participate in ongoing professional development opportunities, including topics required to maintain organization compliance with funder and licensing requirements.
  • Additional tasks as assigned to meet organizational goals.
