As the Program Coordinator, you’ll be a vital part of a collaborative, interdisciplinary team that supports students from diverse backgrounds as they pursue careers in data science and statistical science.   Be Bold.   In this role, you will coordinate and administer a broad portfolio of academic, operational, and programmatic activities supporting the Department of Statistical Science. You will plan major departmental events, manage course scheduling and academic support functions, lead communications and website updates, and collaborate with faculty, students, and staff to ensure programs run smoothly. Your work will have a meaningful impact on the student experience and the department’s academic mission.

Requirements

  • Bachelor’s degree required, providing analytical, communication, and organizational skills.
  • OR An equivalent combination of relevant education and experience.
  • At least one year of experience in program administration, academic support, instructional coordination, or counseling.
  • Experience should demonstrate the ability to plan, coordinate, and implement program activities and events.
  • Ability to provide guidance and direction to others, including setting standards and monitoring performance.
  • Strong logic and reasoning skills for evaluating alternative solutions.
  • Ability to assess program performance, summarize findings, and develop action plans.
  • Knowledge of management principles including strategic planning, resource allocation, and coordination of people and resources.

Nice To Haves

  • Three years of progressively responsible administrative experience, preferably in an academic or research environment.
  • Demonstrated ability to plan, organize, and manage multiple complex projects simultaneously.
  • Strong analytical and communication skills for program evaluation and reporting.
  • Knowledge of strategic planning, budgeting, and resource allocation principles.
  • Advanced proficiency with Microsoft Office, Adobe, and web content management systems.
  • Familiarity with Duke systems including CourseLeaf, Concur, Buy@Duke, and iForms.
  • Proven ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Strong interpersonal skills to collaborate effectively with faculty, staff, students, and external partners.

Responsibilities

  • Plan and manage departmental programs including undergraduate and graduate initiatives, seminars, and major events.
  • Oversee logistics for Blue Devil Days, Majors Fairs, Halfway There, DataFest, graduation ceremonies, and receptions.
  • Collaborate with the DUS, Undergraduate Coordinator, and program directors to execute event plans, venue arrangements, catering, supplies, and communications.
  • Maintain calendars, workflows, and communications to support seamless coordination.
  • Represent the department in meetings with Trinity College, University partners, and vendors.
  • Assess program performance and recommend improvements.
  • Partner with program directors to prepare and maintain course schedules and ensure accuracy and alignment across offerings.
  • Enter and update courses in CourseLeaf; assist with course record creation and modification.
  • Coordinate with the Registrar on reserved seating, sectioning, labs, and discussions.
  • Support instructors with classroom technology, room requests, and logistical needs.
  • Maintain bulletin updates; manage independent study and special topics course entries.
  • Issue permission numbers and track enrollments.
  • Manage departmental website content and digital communications to ensure accuracy and visibility.
  • Collaborate with Trinity Communications to promote departmental news and events.
  • Maintain faculty and staff profiles in Scholars@Duke; manage departmental web inbox.
  • Administer mailing lists in SYMPA; coordinate alumni communications.
  • Develop newsletters and announcements for internal and external audiences.
  • Coordinate seminar series, visiting scholars, and guest lecturers.
  • Manage travel, lodging, itineraries, and reimbursements in alignment with University policies.
  • Oversee seminar announcements, listings, recordings, and communications.
  • Procure supplies and support event setup and execution.
  • Evaluate seminar and event outcomes for continuous improvement.
  • Process reimbursements, approve timecards, reconcile corporate card transactions.
  • Train departmental personnel on systems including Concur and iForms.
  • Create Buy@Duke carts; assist with procurement and accounts payable.
  • Coordinate facilities tasks, office moves, work orders, and supply inventory.
  • Manage departmental spaces, room reservations, and key inventory.
  • Provide administrative and logistical support to faculty, postdocs, and students.
  • Assist with special projects that advance departmental priorities.
