The Marketing Solutions team is looking for a Program Coordinator responsible for the execution and maintenance of all aspects of program-related operations. Projects include operations management of e-commerce sites, events and gifting programs, and special project distributions. This role will be responsible for utilizing internal and external resources to ensure the successful implementation, maintenance, and ongoing client and customer satisfaction with each project. This is a Hybrid role working 3 days on-site at our San Jose, CA location.

Requirements

  • Must be 18 years of age or older
  • High School Diploma or GED required. Associate’s degree preferred, or combination of education and experience
  • 2+ years of customer service experience
  • Strong and consistent attention to detail
  • Excellent verbal and written communication skills
  • Proven organizational and time management skills including the ability to prioritize multiple simultaneous projects and manage each to a deadline
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, Teams)
  • Discipline to work productively under minimal direct supervision
  • Courage to take initiative, share ideas and suggest improvements
  • Strong problem-solving skills and ability to make decisions
  • Flexibility to work with a team, take on new responsibilities and adapt to changes

Responsibilities

  • Manage project work to a deadline while maintaining accuracy and quality
  • Assist in the management of the program to meet requirements as per contract SLA and client specifications
  • Support Account Executives and Sales Associates with special client requests, events, and orders
  • Own, or coordinate with shared services teams, assignments and follow-through of tasks including:
  • Day-to-day management of online stores, including managing new content additions and proofing/reviewing changes
  • Coordinating order fulfillment and shipping logistics
  • Running and formatting standard reports
  • Working with sales teams to track inventory availability for new launch or refresh
  • Developing long-term relationships among customers and colleagues
  • Tracking project changes and communicating relevant information with teammates
  • Direct fulfillment team in quality assurance, project assembly setup, in-hands deadlines, and visual merchandising requirements as needed for each project
  • Resolve customer service inquiries in a timely manner using a ticketing system
  • Provide exceptional service as the liaison between internal departments, external clients, and end users
  • Complete additional tasks as designated by supervisor
