Our Substance Use and Addiction Services team works on the front lines of the overdose crisis, serving some of our community's most vulnerable neighbors with dignity, urgency, and heart. This is not a typical administrative coordinator role. As the Program Coordinator for Substance Use and Addiction Services, you will be the operational backbone of a complex, multi-program team — including our WinMAT walk-in medication-assisted treatment clinic, SUD Counseling services (individual, IOP, and PHP), Overdose and Infectious Disease Prevention (OIDP), and SUD Peer Support programs. Our patients often arrive in crisis. Many don't have phones. Real-time schedule visibility and seamless care coordination aren't just operational priorities — they are patient safety imperatives. Your work will directly impact whether someone gets the care they need today.

Requirements

  • Minimum of 2 years of administrative experience in a healthcare, behavioral health, or community-based setting.
  • Demonstrated experience with scheduling, care coordination, or multi-site program support.
  • Proficiency with EMR systems.

Nice To Haves

  • An Associate's degree in Healthcare Administration, Public Health, Social Services, or a related field.
  • EPIC experience.
  • Experience supporting SUD, mental health, or integrated care programs.
  • Familiarity with prior authorizations, insurance verification, and documentation workflows.
  • Thrive in fast-paced, walk-in-heavy environments and can manage competing priorities without losing your footing.
  • Exceptionally organized, with strong time management skills and high attention to detail.
  • Communicate clearly and professionally — in writing and in person — across clinical, operational, and patient-facing settings.
  • Strong customer service instincts and a genuine commitment to patient engagement.
  • A collaborative team player who can support multidisciplinary teams with reliability and care.

Responsibilities

  • Maintain and update shared calendars for counselors, nurses, and providers across multiple sites.
  • Open and close WinMAT provider and RN templates with as little as two days' notice.
  • Partner with the Program Manager of OIDP to maintain scheduling for peer specialists, outreach workers, and volunteers.
  • Support the coordination of trainees and volunteers across services.
  • Serve as the primary administrative liaison between clinical teams and operational leadership.
  • Attend Integrated Team meetings to provide operational insight.
  • Support the implementation of workflow updates.
  • Follow through on action items.
  • Assist OIDP leadership with harm reduction supply distribution from our Uptown location to other Centers sites and community partner locations.
  • Provide front-desk coverage for SUD counseling services during group hours.
  • Manage check-ins, forms, insurance verification, and patient flow during front-desk coverage.
  • Maintain a waitlist for SUD counseling assessments to ensure unfilled or cancelled slots are promptly filled.
  • Manage a centralized phone line for patient inquiries related to OIDP, SUD counseling, and WinMAT.
  • Register and schedule patients as needed, including those referred by community partners.
  • Help patients navigate transitions in care — from WinMAT into longitudinal primary and psychiatric services.
  • Assist with prior authorizations for SUD counseling, including PHP.
  • Provide backup support for centralized services including Medicaid enrollment, presumptive eligibility, Uber ride scheduling, document scanning, and appointment reminder calls.
