About the position

The Program Coordinator for the Division of Plastic & Reconstructive Surgery at Stanford University is responsible for providing advanced scheduling, educational, and administrative support in a complex academic and clinical environment. This hybrid position requires a proactive individual capable of working independently to manage various administrative tasks, including event coordination, document preparation, and financial transactions, while supporting faculty and trainees effectively.

Responsibilities

  • Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems.
  • Conduct advanced scheduling functions for Stanford and affiliated training sites, performing analysis to inform decision-making.
  • Oversee and perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, and reports; perform editing and fact-checking.
  • Plan and schedule calendars with limited consultation, resolve conflicts, and arrange travel in compliance with policies.
  • Oversee and process a variety of financial transactions and reimbursements.
  • May lead staff or supervise the day-to-day work of students or temporary workers.

Requirements

  • High school diploma and four years of administrative experience, or a combination of education and relevant experience.
  • Advanced computer skills with proficiency in Microsoft PowerPoint, Word, Excel, and email applications.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to exercise sound judgment in decision-making.

Nice-to-haves

  • Healthcare or Graduate Medical Education experience preferred.
  • Complex scheduling experience preferred.
  • College degree preferred.
  • Prior work experience at Stanford University or in higher education strongly preferred.
  • Understanding of the organization of Stanford University Medical Center or similar academic medical center preferred.
